We pride ourselves on our client-focused approach and supportive working environment. Job Summary:We are seeking an organised, professional, and proactive Office Administrator to join our team. The successful candidate will be the first point of contact for many of our clients, playing a crucial role in the smooth running of our office operations. This role requires excellent communication skills, a meticulous approach to administrative tasks, and a commitment to providing outstanding client service. Key Responsibilities: Process card and cash payments from clients, both in person and over the phone, accurately recording all transactions and ensuring compliance with firm financial procedures. Administer petty cash, ensuring all transactions are accurately recorded and reconciled in accordance with firm procedures. Administrative Support: Maintain a meticulous Post Log, ensuring all incoming and outgoing mail is accurately recorded, dated, and distributed promptly. Manage and monitor office supplies, placing orders as needed to ensure adequate stock levels and liaising with suppliers. Diary management of fee earners Assist with general administrative tasks as required, including photocopying, scanning, filing, and data entry. Assist with archiving physical files, maintaining a log of all wills, deeds etc Support fee earners with ad-hoc administrative duties to ensure efficient workflow. Office Management: Ensure the smooth operation of office equipment (e.g., printers, scanners), reporting any issues for repair. Contribute to maintaining a secure and confidential office environment. Reception and Client Management: Act as the first point of call for all incoming telephone calls, directing them appropriately and taking messages accurately. Warmly greet and assist all visitors and clients to the office, ensuring a positive first impression. Manage and escalate client grievances as the first point of call, demonstrating empathy and professionalism, and escalating to the relevant fee earner or management as per firm policy. Maintain a tidy and welcoming reception area. Skills and Experience: Proven experience in a reception, office administration, or similar client-facing role, preferably within a professional services environment. Experience handling cash and card transactions, with a strong understanding of basic accounting principles. Excellent verbal and written communication skills with a professional and friendly telephone manner. Strong organisational skills with a keen eye for detail and accuracy. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to work independently and as part of a team. Discreet and able to handle confidential information with integrity. A proactive and adaptable approach to work. Experience working within a solicitor firm or legal environment. Familiarity with legal terminology and processes. Experience with case management system such as Leap. Personal Attributes: Professional and approachable demeanour. Reliable and punctual. Customer-focused with a strong commitment to service excellence. Ability to remain calm and professional under pressure. Empathetic and patient, particularly when handling client grievances.
