As I prepare to step away from my role at Pascoe + Tew, we’re looking for someone to take over a position that has been central to the business. This is a wide-ranging role supporting the CEO and COO directly, combining executive support, office coordination, and operational delivery, with real opportunity to grow into a larger role as the company continues to scale. I’m stepping down due to location, as the business prepares to open its HQ in Farnham I won’t be able to relocate. I’ll be staying on for the short term to ensure a full and thorough handover and will remain available to support transition if needed. The Executive Assistant & Office Manager will provide high-level administrative support to the CEO and COO, ensuring efficient operations across both executive tasks and office management functions. The role combines the responsibilities of an Executive Assistant, handling executive support tasks such as calendar and meeting management, with those of an Office Manager, overseeing the day-to-day operations of the office, including vendor management, office logistics, and system improvements. The ideal candidate is proactive, detail-oriented, and adaptable, with strong communication skills and the ability to handle confidential materials with discretion. Key Responsibilities: Executive Support: Calendar, Meeting, and Travel Management: Manage the CEO and COO’s calendars, ensuring all meetings and appointments are scheduled efficiently and in line with strategic priorities. Coordinate internal and external meetings, preparing relevant materials and ensuring smooth logistics. Arrange and manage travel for executives, including flights, accommodations, transportation, and itineraries. Act as the primary point of contact for internal and external communication on behalf of the CEO and COO. Draft and proofread high-quality written materials, ensuring clarity, tone, and appropriateness for C-suite audiences. Manage correspondence, including emails and phone calls, ensuring timely and professional responses. Proofread and format confidential reports, psychometric documents, and other sensitive materials with precision and discretion. Office Operations: Office Management: Oversee the day-to-day management of office operations, including managing vendors, ensuring office equipment is functional, and maintaining office supplies. Coordinate the logistics and operations for the upcoming Farnham office, ensuring smooth transitions and office setup. Ensure the office environment is organized, clean, and efficient, providing a welcoming and productive space for all staff. CRM Maintenance & Data Entry: Maintain and update the CRM system, ensuring accurate and up-to-date data entry. Manage and maintain contact information, including vendors, clients, and internal stakeholders. Tracker & Report Management: Create, manage, and maintain trackers, reports, and working tools using Excel or Google Sheets to track key activities and deadlines. Onboarding & HR Administration: Assist in onboarding new employees, ensuring all necessary documentation and equipment are provided. Support HR-related administrative tasks, including data entry, leave management, and maintaining employee records. System Design & Improvement: Help design, refine, and improve internal systems and processes as the company grows, contributing to operational efficiency and scaling. General Support: Confidentiality & Discretion: Handle sensitive and confidential information with professionalism, ensuring all materials are proofread and formatted to a high standard. Manage relationships with external vendors, ensuring all office services are delivered on time and to the required standards. Problem-Solving & Office Support: Act as a point of escalation for office-related issues, quickly addressing challenges and implementing solutions to minimize disruption to operations. Internal Communication & Coordination: Ensure smooth internal communication, collaborating across departments to keep initiatives and tasks on track. Engage professionally with senior leaders and elite clients, maintaining calm and professionalism in all interactions. What We're Looking For: Proactive & Self-Managing:A natural instinct for identifying tasks that need doing and taking initiative. Strong Communication Skills:Exceptional written and verbal communication skills, with excellent attention to detail. Proofreading & Discretion:Comfortable proofreading and formatting sensitive and confidential materials to a high standard. Confident in C-Suite Engagement:Comfortable engaging with senior leaders and elite clients in a professional and calm manner. Emotionally Intelligent & Solutions-Oriented:Able to handle challenges and adapt to shifting priorities with a positive, solution-focused mindset. Experience:Previous experience in executive assistance, operations, or startup environments preferred. Technical Skills:Proficiency in Microsoft Office familiarity with CRM systems is a bonus. Organized & Adaptable:Ability to juggle multiple tasks, adapt to changing priorities, and stay organized in a dynamic environment.
