Position Summary: We are seeking a highly professional, proactive, and resourcefulExecutive Assistantto support our Chief Financial Officer (CFO), Chief Information Officer (CIO) and other assigned leaders. The Executive Assistant will be an integral part of the team’s daily effectiveness, serving as a gatekeeper, sounding board, and proactive facilitator of priorities in a fast-paced, dynamic environment. What You’ll Do: Strategic Calendar & Meeting Management Manage Outlook calendars with discretion and foresight—ensuring top priorities are scheduled, aligned, and protected Independently evaluate meeting requests and proactively adjust as needed to meet shifting priorities Coordinate complex internal and external meetings, including agendas, logistics, and materials for both departmental meetings and board meetings. Communication & Confidential Support Serve as liaison between assigned leaders and internal/external stakeholders—knowing when to redirect, escalate, or resolve on their behalf Draft, review, and send executive-level communication with clarity, accuracy, and professionalism Monitor and prioritize emails and correspondence, ensuring timely follow-up and responses Represent assigned leaders with tact, diplomacy, and absolute confidentiality Project Coordination & Follow-Up Proactively track key projects and initiatives, ensuring deadlines and deliverables are met Independently coordinate with cross-functional teams to gather updates and move priorities forward Maintain awareness of key initiatives, people, and timelines to serve as an extension of assigned leaders in action and mindset, proactively asking questions when necessary Travel, Reporting & Special Projects Arrange travel and itineraries, ensuring efficient and seamless experiences Prepare expense reports, manage departmental purchases, and track budget items as needed Create and edit presentations, spreadsheets, reports, and visual materials for internal and external use Attend select meetings to take notes, document action items, and ensure deliverables are completed accordingly What You Bring: Minimum5 yearsof experience supporting a senior executive, preferably in a dynamic, fast-paced environment Advanced skills inMicrosoft Office Suite(Outlook, Teams, SharePoint, Word, PowerPoint, Excel); comfort working with data, visuals, and presentations Exceptional organizational skills with the ability to independently prioritize, pivot, and manage multiple priorities with attention to detail Confidence and discretion when handling confidential information High emotional intelligence, professional presence, and adaptability when interacting with executives, stakeholders, and cross-functional partners A strong sense of ownership, accountability, and initiative—someone who proactively anticipates rather than reacts Success in This Role Looks Like: Building a high-trust partnership with the assigned leaders grounded in confidentiality, communication, and accountability Acting as an extension of assigned leaders by making informed decisions, strategically managing time and access, and proactively solving problems Being a constant, composed, and highly capable behind the scenes force supporting both the strategic and day-to-day demands of assigned leaders Why Join Us: This role offers the opportunity to support decision-making and leadership in a large, purpose-driven organization.
