Job Description

We are looking for an experienced administrator to join the Swindon Talking Therapies Administration Team on a fixed-term contract until 27th March 2026. We are a friendly team seeking someone who enjoys staying busy and can work well within a small team in a shared office space. Working hours are Monday to Friday, 9 to 5, based at Old Town Surgery, Swindon. There may be occasions where you will need to provide cover and work across the BaNES and Wiltshire services remotely from Swindon. The ideal candidate will be highly motivated, flexible, multi-skilled, and possess excellent organisational skills. Good working knowledge of all Microsoft Office systems, including Outlook, Word, and Excel, is essential. You should be an excellent team player with good communication skills, the ability to prioritise, and a good understanding of information governance. Strong personal resilience, attention to detail, and a high level of accuracy are also required. Please note that you need to be able to start fairly quickly due to the contract length. This role involves administrative duties and telephone-based work, so excellent telephone and English language skills are necessary. Reception cover will also be part of the role. You will work closely with other team members, forming good working relationships and sharing workload within the team. Main duties include being the first point of contact for clients self-referring into the service via telephone or online, greeting clients in reception, taking personal details, and uploading them accurately onto the electronic patient record system, IAPTUS. You will also book and re-arrange appointments, manage electronic bookings, cover reception, monitor the service mailbox, collate appointment letters, and ensure timely dispatch. For more details, please see the attached Job Description and Person Specification. We are AWP (Avon and Wiltshire Mental Health Partnership NHS Trust), a diverse organisation with over 5,000 staff providing inpatient and community mental health care across Bath and North East Somerset (B&NES), Bristol, North Somerset, South Gloucestershire, Swindon, Wiltshire, and parts of Dorset. Our dedicated team promotes mental health and wellbeing, adopting a person-centred approach. We value happy and fulfilled employees, believing they provide better care. We actively encourage applications from all backgrounds, especially from Black, Asian, and minority ethnic communities, those with disabilities, and the LGBTQ+ community.
