Reports to: CEO Location: RemoteSalary: Negotiable From £25,000 to £35,000 subject to regulatory experience (not essential)Employed: Full time. Role PurposeTo oversee and coordinate the daily operational and administrative functions of a UK FCA regulatory compliance consultancy. This role ensures that projects, client deliverables, and internal systems run smoothly, efficiently, and in full alignment with the firm’s quality, compliance, and service standards. The position bridges operational oversight with hands-on administration, supporting both consultants and management in delivering high-value, fixed-price compliance services. Key ResponsibilitiesOperational ManagementManage day-to-day operations including scheduling, resource allocation, and workflow management across consultants and support staff.Maintain and optimise internal systems (CRM, document management, project tracking) to ensure smooth delivery of client engagements.Monitor ongoing projects to ensure timelines, budgets, and quality standards are met.Support implementation and improvement of Standard Operating Procedures (SOPs).Oversee compliance with internal policies, GDPR requirements, and ISO / quality standards where applicable.Client & Project SupportCoordinate onboarding of new clients, ensuring all documentation, contracts, and regulatory requirements are in place.Act as an operational liaison between clients and consultants to ensure clear communication, efficient scheduling, and timely delivery of reports.Monitor project pipelines and flag potential risks or resourcing issues to senior management.Administrative OversightSupervise and support administrative staff, ensuring accurate data entry, file management, and reporting.Maintain central records of contracts, invoices, and regulatory submissions.Ensure RegData reporting schedules, FCA communications, and client deliverables are tracked and met.Oversee procurement of office supplies, software licences, and operational services.Financial & Reporting SupportAssist with budget tracking, purchase orders, and operational expenditure reporting.Support the CEO/Finance Manager with billing schedules, debtor tracking, and supplier payments.Prepare monthly operational reports for management review.People & Resource ManagementOversee workloads, performance, and training needs of administrative support staff.Support recruitment, induction, and ongoing training of operational/admin staff.Encourage a positive, efficient, and client-focused team culture. Skills & Experience RequiredProven experience in operations or office management, ideally within a professional services or consultancy environment. (must)Strong organisational and multi-tasking skills with attention to detail. (must)Excellent written and verbal communication skills in British English.Proficiency in Microsoft 365, Google Workspace, and CRM/project management tools. (must)Understanding of FCA regulatory compliance processes (desirable but not essential).Experience in managing workflows, SOPs, and administrative teams. (must)Financial awareness with ability to track budgets and project costs.Experience of FCA RegData returns a distinct advantage. Personal AttributesProactive, adaptable, and solutions-focused.
