Role & responsibilities: We are seeking a highly organised and proactive Personal Assistant / Office Manager to support senior leadership while ensuring the smooth day-to-day running of our office. This dual role involves managing diaries, travel, communications and presentation support for executives, alongside overseeing office operations and supplier relationships. The ideal candidate will be adaptable, discreet, and capable of managing multiple priorities in a fast-paced environment. Given the nature of this role, it is 5 days a week in the office, not hybrid. Key Responsibilities: PA: Diary management for Senior Executives across the business. Act as a key liaison with external stakeholders, ensuring clear and timely communication on behalf of the Executives. Organise travel arrangements - including booking flights, accommodation, trains, visas, and taxis. Lead the planning and execution of conferences, away days, and events. Coordinate large-scale internal and external meetings, including preparing agendas, collating presentation materials, supporting with reporting and meeting minutes. Manage executive expense reconciliation, credit card statements, and the end-to-end process of raising purchase orders and tracking invoices. Social & Well-being committee - being a member of the S&W committee to help plan and co-ordinate regular initiatives and events, as well as the annual summer + Christmas parties.Head of House: Liaising with landlord on all issues relating to the building and our office. Supporting onboarding and offboarding processes (i.e. access cards, tour of office incl. fire escapes, office benefits). Responsible for office maintenance, security procedures, visitor procedures, opening and closing. Regular walk arounds, logging any issues and organising repairs with a handyman. Supplier contract negotiation and management and procurement, including cleaners, security and office works. Office budget management and regular auditing of supplier accounts to ensure we are getting the best value. Health & safety - risk assessments, fire safety (alarms, drills, extinguishers, fire warden), first aid training and keeping up to date with first aid kits. Responding appropriately to emergencies or urgent issues as they arise. Sustainability committee - ensuring that all supplies and suppliers fall in line with our sustainability policy. Responsibilities include being up to date on any new products that can be used with in the business that have zero emissions, environmentally and ethical. Ensure all cleaning products are ethical and environmentally friendly. Weekly and monthly ordering, ensuring sensible stock levels;Stocking stationery and any other office items Weekly: Stocking kitchen - Milk, fruit, drinks, snacks, refreshments (coffee machines, filter taps)Arranging couriers, post collection and taxis. Greeting guests and clients into the office, ensuring they have a memorable experience. Setting up meeting rooms for client meetings - tea, coffee, lunches.Qualifications and experience: Proven experience supporting senior executives in a fast-paced environment. Excellent organisational and multitasking abilities, able to prioritise and adapt to changing demands. Strong communication skills, both written and verbal, with the ability to liaise confidently with internal and external stakeholders. Experience managing complex travel arrangements and event coordination. Proficient in Microsoft Office suite, particularly Outlook, Word, Excel, and PowerPoint. Ability to maintain confidentiality and handle sensitive information with discretion. Proactive, resourceful, and able to work independently as well as part of a team. Previous experience with office management and vendor coordination is desirable.
