We are currently recruiting for a PA on a Temporary ongoing basis to support our client in Shrewsbury with a growing workload. Executive Support Provide full PA support to the MD, including managing telephone messages and email correspondence while the MD is out of the office Manage and maintain the MDs electronic and paper diary, including full appointment details (name, address, contact details) Send emails and correspondence on behalf of the MD (via dictation or telephone instruction) Complete digital dictation for renewal letters, emails, file notes and related documents (including amending schedules/letters and occasionally drafting new business correspondence) Prepare files for the MDs meetings and visits, occasionally organise personal tasks/items for the MD Client Communication & Service Prioritise all client communication, ensuring timely responses in line with company procedures Action and respond to client emails, sourcing information as required Conduct all aspects of account handling: new business, technical preparation, renewals, mid-term adjustments, and claims Maintain a professional working relationship with clients and deliver a consistently high level of customer service Ensure bad debt queries are managed efficiently and in line with procedures Liaise with PR & Marketing (Clare Rowson) regarding company promotions Organise company shows/events (e.g., RWS in July, Oswestry Show in August), including booking caterers and supporting logistics Organise and distribute company calendars for clients Administration & Compliance Maintain all electronic and paper files to FCA-compliant standards Keep accurate and up-to-date client and internal records Process data and invoices on the Acturis system Process premium payments across company platforms Collate and prepare documentation relating to client claims Manage post distribution daily Office Management Manage reception duties, including client/supplier meet & greet Organise and liaise with cleaning contractors Oversee office equipment contracts (printers, photocopiers, franking machine) Order stationery and kitchen supplies, manage utility contracts and meter readings Maintain general office housekeeping Liaise with staff on behalf of the MD when required Experience required: Experience working in a fast-paced administrative role andwithin an insurance environment Previous experience working as a PA Acturis experience (preferred) Able to work independently and within a team Excellent written and verbal communication skills Working Hours: Mon-Fri 9am 5pm | 1-hour lunch If you are interested in this role, please contact Taylor or Megan at Proactive Personnel, Telford.
