Personal Assistant (4 Days per Week)We’re a fast-moving, founder-led creative studio looking for an efficient, emotionally intelligent PA to keep our leadership team organised, responsive and focused. You’ll take ownership of diaries, communications, light sales/finance administration and general office operations.Our typical services include:Creative Strategy for leading brandsPhotoshoots, on location or at London StudioEditing and repurposing existing content for better ROICore ResponsibilitiesDiary & Scheduling: Manage calendars for Founders and the Senior Leadership Team, schedule calls and meetings, resolve clashes, prepare agendas and coordinate across time zones.Inbox & Slack Management: Triage and respond to emails and internal Slack messages, maintain a simple tagging system for priorities, draft replies and escalate only when necessary.Sales Operations & CRM Support: Keep the CRM up to date, prepare proposals and statement of work templates, track contracts and ensure timely follow-ups.Finance Administration: Collate receipts and expenses, draft invoices, track payments and maintain a monthly operations checklist.Founder & SLT Support: Anticipate needs (briefing notes, pre-reads, travel bookings), protect focus time and provide a concise daily/weekly snapshot of priorities.Office & Operations: Oversee day-to-day office needs (supplies, vendors, meeting spaces), support events and offsites, and maintain team operations documentation.Compliance & Data Handling: Manage confidential information with discretion, apply GDPR-friendly practices and ensure secure file sharing.What Good Looks LikeDiary accuracy: no missed or duplicated meetings, changes communicated the same dayInbox & Slack: priority responses within 4 working hours; standard within 1 working dayCRM upkeep: next step and date logged on 100% of active dealsFinance administration: month-end checklist completed within 3 working daysLeadership support: founders spending more time on high-value workSkills & ExperiencePrevious PA/EA experience supporting senior leaders or foundersEfficiency: systems thinker, excellent prioritisation, quick follow-throughEmotional intelligence: reads context, manages upwards, communicates with tactStrong written communication and note-takingTools: Google Workspace, Slack, project management tools (Notion/Asana/Trello), CRM (HubSpot/Close/Pipedrive), finance systems (Xero/QuickBooks, Stripe/Pleo) – or similarHigh discretion and professional judgementWorking Pattern & DetailsContract: Part-time, 4 days per week (pro-rata)Location: London (hybrid)Hours: Core hours (e.g. 09:30 – 17:30) with flexibility around themHow to ApplyPlease send your CV or LinkedIn profile along with a short covering note on why
