Vertus provides an award-winning rental experience, focused on delivering exceptional service to residents in buildings designed specifically for the private rental market.The Vertus team will be dedicated to providing a superlative service to residents, 24 hours a day and 365 days per year.Salary - Circa £40,000Main ResponsibilitiesOverseeing the property management of your assigned properties across Vertus PortfolioEnsuring your assigned properties within the Vertus portfolio meet all necessary compliance obligations e.g. have a valid EICR, EPC and PAT testingManaging costs for turnaround of apartments to ensure costs are being appropriately recovered from tenants' deposits, and competitive quotes are being obtained for any repairs or replacementsManaging the check out process including, scheduling and managing the check out inventories, conducting check out apartment checks prior to the end of the tenancy, communicating the end of tenancy process to the residents, ensuring all keys are returned and meter readings are takenEnsuring property management systems are being used correctly and are kept up to dateProducing weekly and monthly reports to the building manager on all KPI’sMonitoring apartment voids including, flushing for long term vacancies, ensuring minimal energy usage, e.g. lights off, heating and cooling off/appropriately setTo assist in mobilisation of new buildingsManage reactive maintenance of occupied apartments to ensure any issues that fall under the Landlords responsibility are being responded to in a timely manner and residents are regularly kept up to date with the progressObtain one or more competitive quotes from approved contractors for repairs if external contractors are required, manage contractor access to the apartmentsWork with the Help desk to schedule and prioritise tasks for the engineersKeep up to date with changes in legislation and raising or suggesting improvements or changes to ensure these are metConduct a review of check out reports and generate an appropriate list of dilapidations to present to the tenant within the timeframes set In the SOP’s. If the deposit is not protected by TDS custodial, once agreed by all parties, arrange for the deposit release form to be sent to accounts for refundManage any disputes raised by the Landlord or Tenant in relation to deposits, all TDS deposits to be managed through TDS portal, ensuring TDS is notified of any dilapidation charges within the correct timeframeMonitor & track the progress of deposit returns to ensure they meet required timelinesEnsuring tasks follow SOPs processesEnsure SOPs are kept up to dateEnsure any planned maintenance tasks are scheduled and carried out according to statutory compliance responsibilitiesInvoice management and processing PO’sOrganise renewal of safety certification and remedial works during the tenancyPrepare mid-term inspection reports for the business and feedback to the tenant if a breach has been notedComplete monthly audit on the residents Rights to Rent, check to ensure all residents have the right to rent, report any residents that cannot provide the proof of their right to rentManaging end of tenancy mattersProvide support to Building Manager where necessaryAssist finance team with the collection of rent arrears, assist Community utilities with the collection of the utility arrearsManage residents registrations on Pulse, Community utilities portal and Bring Me boxes, (Including Move in’s, room moves and move out’s)Manage council tax move out’s and room moves, supply local council with the weekly report of past tenants and their move out dateTo promote and implement sustainability initiatives as directed by Canary Wharf GroupProvision of effective response to emergency queries out of normal office hours to include attending site if appropriateTo carry out other reasonable duties as instructed and directed as requiredPERSON SPECIFICATIONA good overall education to ‘A’ Level / NVQ Level 3 or 4 standard or equivalent (to include English & Maths)Desirable to have IRPM level 1 or 2 or ARLA Level 3Basic knowledge of Building Management SystemsAn understanding of the principal aspects of legislation relating to the management of Residential Property LawKnowledge of Health & Safety to include COSHH and RIDDOR and carrying out risk assessmentsKnowledge of Section 8 & 21 requirementsWorking knowledge of Health and Safety requirements and legislationExcellent communication skillsWillingness to undertake further training as requiredMinimum of 2-year experience in a management position is essentialExperience instructing and managing large contracts of workWorking in a high-end customer service establishmentAbility to manage own time and multiple tasks effectively, working autonomously and using own initiativeCommitment to teamwork and ability to function as part of a teamAbility to communicate effectively, verbally and in writing, and to understand and produce materials of a professional nature in line with required deadlinesAbility to form positive relationships with and between residents, staff, contractors, representatives of outside agencies and other Canary Wharf Group employeesAble to build a rapport and to maintain objectivity when dealing with residents and to maintain a courteous and professional attitude in all situationsExcellent knowledge & understanding of I.T. including email and Microsoft Office Suite (Word, Excel, PowerPoint)Willingness to be adaptable and to accept the evolution of the role as the estate developsHealth Safety And Welfare ResponsibilitiesAll staff are required to fulfil their legal duty to take reasonable care for the health and safety of themselves and others who may be affected by their acts and omissions, and to follow all guidance and instructions given in this respect.
