You’ll be leading a multi-site facilities team across our sites in Newcastle, London, Shrewsbury with oversight of our office locations in Epsom, Oxford and Eastbourne. As such you'll be providing strategic leadership and effective management of our properties, facilities, health & safety arrangements across the UK. Responsibilities: • Design, develop and implement facilities services & solutions, which create value for the organisation and maintaining a positive workplace experience for our colleagues. • Maintain and continuously develop our strategy for the effective health and safety management across all UK sites ensuring the safety of colleagues and visitors in line with legislative requirements. Ensure our buildings meet health, safety and fire regulations and that our facilities comply with relevant legislation. You’ll provide guidance on Health & Safety matters to all stakeholders from our Executive team through to people managers and our colleagues to promote a safe working environment. • Ensure that rigorous risk assessment and incident management systems are in place and followed across the organisation. Manage team/departmental and business risk registers to ensure all risks are reported and assessed effectively. • Plan and manage our business continuity and crisis management programme, collaborating with departments to build plans and resilience into our programme. • Manage the upkeep of our BC/Crisis Communications platform (Everbridge) carrying out regular communications tests and managing our BIA Platform (Baserow). • Collaborate with departments and or third parties to design and build scenarios that test our BC, operational resilience and crisis plans at least annually or as required by the business. • Plan and manage all property lease events, recommend strategies to the P&C Director and members of the UK Exec team. • Lead on all landlord matters liaising and collaborating with their agents/third parties and local building/premises management teams to ensure lease events, service charge budgets and all property compliance and management arrangements are appropriate to the needs of the business. • Plan and manage the compliant and effective delivery of our planned preventative and reactive maintenance programmes along with managing/collaborating on infrastructure & minor project works in our sites. • Plan and manage our UK facility soft services including contracts for corporate travel, security, cleaning, waste management, reception services, stationery, catering and parking solutions. • Forecast and closely manage and monitor FM/project budgets for all UK property management areas. • Oversee tenders for contractors and oversight of their work to ensure compliance with contracts and agreed standards. Manage and monitor the effectiveness of contractors and vendor relationships and review service contracts as required to ensure effective facility management services are delivered. • Oversee planned renovations and refurbishment programmes to ensure our offices meet the needs of the business and our colleagues. • Act as insurance coordinator, liaising with our broker, departments and members of the Executive team to ensure our corporate insurance cover is current, relevant and that the business is compliant. Connect and collaborate with colleagues across business areas to ensure the business is adequately protected whilst ensuring effective VFM. • Lead and develop the facilities team in the delivery of team, departmental and business Organisational Key Results (OKRs), whilst managing their performance to ensure our facilities services are customer focused and delivered on time. Knowledge, Experience & Qualifications: * Must have significant and demonstrable experience in successfully managing Facilities and Health and Safety * Must have strong business continuity experience * Facilities Management and Health and Safety qualifications desirable * Innovative, customer focused and proactive approach to resolving problems; taking ownership and accountability. * Thorough and up to date knowledge of UK H&S legislation and best practices. * Excellent written and verbal communication skills are essential. * High level of integrity and professionalism with the ability to work on own initiative with little guidance maintaining discretion at all times. * Financial acumen and experience of using data to influence decision making. * Excellent communication, diplomacy and organisational * Strong analytical and data manipulation skills. * Excellent use of IT and Microsoft packages.
