Key Dates Closing Date: 2 February 2026 Proposed Interview Date(s):12 February 2026 Start Date: Available immediately (subject to notice period) About the Role The Reception Administrator / Shop Manager plays a key role within the Monastery support team, providing a high-quality, welcoming reception service to members of the public and delivering efficient administrative support to the Rector and Redemptorist Community. The postholder is also responsible for the effective day-to-day operation of the Monastery shop, including stock management, staff supervision, and customer service. As part of the Dublin Province of Redemptorists, the role involves close collaboration with colleagues across the Province to ensure the best provision of religious goods and related items. Reporting Relationship The postholder will report directly to the Rector of Clonard Monastery or his delegated representative. Principal Duties and Responsibilities Reception and Office Administration Open and close the reception and shop daily. Welcome visitors and customers in a professional, respectful, and confidential manner. Manage incoming calls, emails, and correspondence, directing enquiries appropriately. Provide administrative support to the Redemptorist Community as required. Maintain and develop administrative systems to ensure efficient office operation. Handle all incoming and outgoing post. Monastery Shop Management Manage stock levels, place orders, and source products within agreed budgets. Receive deliveries and ensure accurate recording on the computerised sales system. Liaise with the Province Finance Team to resolve any system or finance-related issues. Carry out annual stocktakes and periodic checks. Maintain attractive product displays to achieve best retail outcomes. Serve customers in person and process online orders. Ensure the shop and office areas are clean, secure, and well maintained. Staff and Volunteer Management Train and supervise part-time staff and volunteers. Manage staff rotas, including cover for holidays and sickness. Address issues relating to attendance, conduct, and performance in line with policy. Manage volunteers in accordance with Redemptorist policies and protocols. General Responsibilities Undertake additional duties appropriate to the role as assigned by the Rector or his delegate. Comply with all organisational policies, procedures, and legislative requirements. Maintain high standards of service, discipline, and teamwork. Participate in mandatory training, including health and safety and manual handling. Risk Management and Health & Safety Contribute to a safe environment for staff and visitors by complying with all health and safety procedures. Participate fully in risk management and health and safety initiatives. Qualifications and Experience Applicants must meet one of the following by the closing date: Minimum of 5 GCSEs (including Maths and English) at Grades AC / 94, or NVQ Level 2 in Administration (or equivalent), or At least two years administrative experience where formal qualifications are not held. In addition, candidates must demonstrate: At least one years office or administrative experience, including filing systems, call handling, visitor reception, and use of technology. Relevant retail experience, including stock ordering, receipting, and product display. Experience or understanding of training and supervising colleagues. Sufficient competence in the English language to carry out the role. Skills, Competencies and Knowledge Proficiency in Microsoft Office applications including Word, Excel, and Outlook. Experience using multi-line telephone systems (training will be provided). Excellent attention to detail and accuracy. Strong organisational and multitasking abilities. Effective leadership, teamwork, and interpersonal skills. Clear and confident communication skills. Awareness of health and safety policies and procedures. Terms and Conditions Tenure This is a permanent appointment subject to a probationary period. Probation Six months. Annual Leave Four weeks per annum plus ten statutory holidays.
