Position Title: Clinic ManagerReports to: Operations Directors, Berkshire Health LimitedPosition SummaryThe Clinic Manager is responsible forThe day-to-day running of the clinic, covering two buildings: 11 Kendrick Road & 23 Craven RoadLine Managing the admin team, fostering clinical and organisational excellenceWork alongside the Lead Nurse and Billings Manager to ensure all services are working collaboratively with one aim.Knowledge, Training & Experience requiredExcellent interpersonal and organisational skillsInitiative and keenness to learnAbility to work under pressure and plan strategically while coping with day-to-day problemsExperience of staff managementSound computer skills using MS Office Suite and Web based systemsNumerate, able to analyse, interpret and utilise data to improve performanceTeam WorkingTo display a high standard of teamwork, assisting where other staff are absent or when the workload is particularly highTo motivate members of the team to work to their best ability, reaching targets and continue to growTo help integrate new business solutions, or clinical treatments to the team in a way that they feel supported, educated and confident in what they are doingConfidentialityTo always maintain patient confidentiality and comply with all data protection regulations.To always maintain commercial confidentialitySpecific TasksManagement of StaffTo oversee the normal efficient working of the clinicProvide a full range of personnel management services: inductions, training, welfare, health and safety, 1-2-1's, performance goal setting and evaluation, and delegation of workloads for all members of admin teamTo work alongside the Compliance and HR Manager with regards to recruitment, selection, discipline and grievance proceduresClinic DevelopmentTo work alongside the admin team to find ways of improving the service to ensure it is running efficiently.Introducing new services, specialities, consultants and making improvements to the patient management system.Help support marketing campaigns and raising awareness of new clinical services.Practice OrganisationPlan, co-ordinate and monitor staff activities to ensure efficient service to patients and support to consultantsOversee staff rotas and monitor effectiveness and adequacy of coverWork with lead nurse on matters of clinical importance, especially infection control.Work in conjunction with the Facilities Management company to help arrange annual/other service visits for PAT testing, utility serving, lift maintenance etc.Arrange monthly admin meetings to provide updates and discus ongoing administrative mattersWork with 3rd party providers to ensure the cross care and best patient outcomes.Health and SafetyEnsure all accidents or dangerous incidents are investigated, recorded, reported to the Compliance & HR Manager and followed upCarry out all necessary H&S audits and carry out any actions that arise from themManagement of PremisesEnsure maintenance issues are reported to the facilities management company and action any immediate work to maintain a safe working environmentCarry out 6 months fire drills to maintain fire safetyEnsure cleaning standards are maintained and any issues reported to the cleaning contractorIT and Telecom ServicesDeveloping reporting and management of phone usage to hit KPI's.Using a CRM, provide reporting and data to help monitor enquires and performance and use it to monitor performanceTrouble shoot issues with assistance from IT3FinanceWork with the Finance and Billing manager to ensure fees are being monitored and yearly budgets for maintenance work are kept.Maximise income and control costs as part of the management teamOtherDeal with enquiries and complaints from patients effectively and efficiently to promote patient satisfaction, liaising with clinical staff and consultants as necessaryAct as part of the management team alongside the consultant directors and together with them, plan, develop and implement any changes necessary to meet new demands on the clinic both internally and externallyManage the clinic according to the vison and mission statements agreed with the directors and approved by them.Education and TrainingParticipate in ongoing training and development both in-house and externallyDeveloping strategies for the clinic on issues such as computer systems and cyber security.Our PurposeTo serve our communities, being there for people in their time of need.Our ValuesTeamwork – We support one another and work together with trust and respect, knowing that great care is never delivered alone.Excellence – We strive for the highest standards every day, delivering safe, high-quality care to those who need us most.Caring – We lead with empathy, kindness and compassion — always seeing the person behind the problem.Innovation – We stay open minded and enthusiastic about better ways of working.
