You'll be the person who makes sure the engine runs smoothly — managing our finances, operations, supplier relationships, technology, and people infrastructure — while also contributing to how we grow and how we show up externally. You'll work closely with our Directors and will have real autonomy to shape how things get done.We're a growing boutique, so this role requires someone genuinely comfortable switching between structured process work and creative problem-solving. We want someone who brings ideas to the table, spots things before they become problems, and takes initiative — but equally someone who thrives on getting the detail right and following things through.What You'll OwnFinance & AccountsManaging invoicing and debt collection, ensuring clients pay on time and escalating when they don'tOverseeing accounts payable, paying supplier bills, and logging items on HubdocLiaising with our external accountants and managing day-to-day financial administrationProducing financial analysis of our costs and contractor productivityCreating and maintaining finance trigger processes and approval workflowsProactively flagging risks, anomalies, or opportunities to the DirectorsSupplier & Contract ManagementOwning supplier relationships end to end, from initial setup through to renewal or exitReviewing subscription costs regularly and negotiating better terms where possibleTransitioning outdated contracts to new and more suitable arrangementsLiaising with account managers across key platforms including our database and LinkedInProactively identifying cost savings and improvements without waiting to be askedOperations & AdministrationManaging the signing of contracts and proposals with clientsMaintaining and improving our folder structures, removing superseded documentsCreating business templates that raise the quality and consistency of our outputWriting and maintaining operational processes including meeting agendas, hiring trigger frameworks, and placement retention tracking for tender purposesSupporting the development and delivery of our associate and client feedback processesPeople & HR AdministrationManaging holidays and time off for employed and contract staffCoordinating associate days and supporting the planning of L&D activityArranging training as needed and supporting onboarding of new team membersWriting internal frameworks such as the associate feedback form, confirming processes with DirectorsTechnologyOverseeing the practical day-to-day tech needs of all team membersLeading our transition to Microsoft Copilot, building out the migration and development planStaying across new tools and platforms relevant to our business and making recommendationsOverseeing our database and ensuring it is well maintained and up to dateMarketing SupportEnsuring our values, positioning, and pitch are consistently reflected across all channels — website, social media, and collateralEither overseeing an external marketing partner or, over time, developing into the person who owns this functionContributing to content planning and supporting the production of thought leadership and promotional materialWho You AreYou're highly organised and love systems, but you're not rigid — you know when to flex and when to hold the line. You're commercially minded and don't need prompting to spot an opportunity to save money or improve a process. You bring ideas and suggestions to your Directors but are equally happy to take direction and execute well. You communicate clearly and confidently, whether you're chasing an overdue invoice or recommending a new piece of software.You'll have experience in an operations, business manager, or senior administrator type role, ideally within a professional services or agency environment. Familiarity with finance processes, supplier management, and CRM platforms will be important. Any marketing experience or appetite to grow in that direction would be a real advantage.PracticalitiesReporting to the Founder, Director with dotted line to the MDBased in Leatherhead or Perth, Scotland— we work from the office four days a week as our norm and would consider three for the right person.Salary: Dependent on experience, plus competitive benefits
