We are a small team with everyone working closely together helping each other out when needed.About The Role:We are looking for an organised and proactive Sales & Operations Assistant to support our wholesale and retail sales channels, customer communications, order processing, and general day-to-day operations. This role works closely with the Buyer and wider team and plays a key part in ensuring orders, systems, and customer relationships are managed smoothly across multiple platforms.Key Responsibilities include:Orders & Customer Emails:Monitor and manage the orders@ inboxReply to customer emails promptly and professionallyProcess incoming orders accuratelyForward retail-specific enquiries and orders to the retail teamSales Platforms & E-commerce:Faire:Process orders and respond to customer messagesSend marketing emails and publish new products and create collectionsUpdate the shop page several times per yearMatch payments against Statements of Sales (SOS)Oversee the general day-to-day management of the platformShopify:Process website ordersManage and support customers registered on the websiteEtsy:Publish new productsRemove discontinued productsNot On The High Street (NOTHS):Publish new productsRemove discontinued productsCRM & Administration:Zoho CRM:Upload new customers and leadsMaintain and update existing customer and lead recordsManage task lists, including contacting customers by phone, email or Whats AppUpdate last order dates and follow-up tasks once orders are dispatchedCredit Notes & Spreadsheets:Maintain credit note spreadsheets accuratelySupport general spreadsheet and filing tasksPayments:Check payments daily with the Finance ManagerProcess payment paperworkTake credit card payments when requiredShowroom & Customer Visits:Welcome customers to the showroom and talk customers through the product rangeTake orders during visitsTrade Shows:Assist with trade show preparation and work on the stand during trade shows, meeting customers and taking ordersFollow up leads after trade showsGeneral Support:Work closely with the BuyerAssist with unloading deliveries when they arriveSupport warehouse tasks when required (e.g. drying glass during drilling periods) and help with stocktakesPrepare lampshade and flex sample setsGeneral filing and administrative supportAbout You:Highly Organised and proactive approach to workProfessional communication skills for replying to customer emailsExperience with excel is essentialAccurate in processing orders and maintaining spreadsheetsComfortable managing trade customer relationships across multiple platformsAbility to work closely with a team and support various departments including Finance, Warehouse, and BuyingWhy Join Jarapa?Jarapa is a growing, independent homeware brand with a focus on handmade, recycled and responsibly sourced products.
