The North Dakota Soybean Council (NDSC) is seeking an administrative assistant tojoin our Fargo based team. This is a full-time position with an excellent benefitspackage. Salary range: $19.50-23.00. Hours are 7:30AM-4:00PM, Monday-FridayThe Administrative Assistant is responsible for performing a range of clerical andadministrative tasks to support the daily operations of the NDSC. The AdministrativeAssistant has a critical role in keeping the office a welcoming and positive environment.Duties include greeting and directing visitors, answering phones, and keeping the officesupplied and organized.The right candidate will be a forward thinker capable of problem solving as they seek tomanage information and support the team around them.Additional duties of the administrative assistant will include:Answers and transfers phone calls, screening when necessary.Welcomes and directs visitors and clients.Arranges hotel accommodations, catering, and other assigned duties for boardmeeting needs.Assists with ND Soybean fleet maintenance and scheduling.Responds to and resolves administrative inquiries and questions.Coordinates and schedules travel, meetings, and appointments for managers orsupervisors.Manages the daily opening and closing of the office by unlocking or locking thedoors, turning on or off the location lighting, makes coffee, and ensures commonarea is clean.Maintains office supplies and coordinates maintenance of office equipment.Sorts incoming mail and route to appropriate staff member; processes alloutgoing mail.Membership and Partner ManagementManage data entry to maintain active and accurate database management.Enter first purchaser contact information into database and provide support tostaff in ensuring accurate lists are generated to ensure first purchasers haverequired remittance paperwork annually.Work closely with to ensure staff have up to date contact lists for outreach andengagement.Ensure records are appropriately filed and save according to ND Soybeanrecords retention policy.Assist with billing and invoicing process, as needed.Coordinate with ASA to manage membership database and invoices.Report on membership statistics for Board Meetings, as needed.Qualifications:Skills requiredFamiliarity with Microsoft Office productsExcellent written and verbal communication skillsData entry and standard keyboardingDatabase entry preferredEducation High school graduate or equivalentPrevious administrative assistant experience preferredWork may occur in the office, from a remote office location, and from a clientsite. Occasional travel may be required. Lifting and carrying up to 25 pounds maybe necessary. Standing, walking, sitting, kneeling, squatting, and driving arecommon motion requirements. The ability to make quick decisions, manage multiplepriorities, be flexible, deescalate conflict, and operate in a fast-paced environmentmay be required.
