About the RoleElville and Associates is looking for an experienced Executive Assistant to work directly with our Managing Principal and Lead Attorney.This is a key role in the firm. The right person will help keep things moving, keep priorities clear, and make sure nothing slips through the cracks. You'll be working closely with the Managing Principal day-to-day and helping ensure his time is used well and that client and internal matters are handled efficiently.We are looking for someone who takes real pride in doing this type of work well "” someone who enjoys being organized, staying ahead of things, and keeping everything running smoothly.What You'll Be Responsible ForManaging the attorney's calendar "” scheduling client meetings, consultations, and internal priorities thoughtfully and accurately Making sure the right things are happening at the right time, and adjusting quickly when priorities shift Serving as a point of contact for clients on logistics and communication (non-legal), always professionally and clearly Preparing and sending engagement letters and other client communications accurately and on time Coordinating meetings and making sure everything is ready in advance Tracking client matters and following up so nothing falls behind or gets missed Working closely with attorneys, paralegals, and intake to keep everything aligned Keeping the Managing Principal informed of what matters most "” priorities, issues, and anything that needs attention Helping improve processes and keep systems organized and efficient Handling all information with a high level of discretion and professionalism What We're Looking ForSomeone who is very strong with calendar management and genuinely enjoys doing it well Someone who is detail-oriented and takes ownership "” not just checking boxes, but making sure things are done right A strong communicator "” professional on the phone, clear in writing, and good with clients Someone who can keep track of multiple moving pieces and follow through consistently A person who is comfortable using technology and is always looking for ways to improve efficiency (experience with Clio Grow and Clio Manage a big plus)Someone who can anticipate needs and keep things from becoming reactive or chaotic Approximately 5 to 10+ years of experience as an Executive Assistant (law firm experience is a plus) Position requires on-site presence 5 days per week 8:30am 5:30pmWhat Success Looks LikeThe Managing Principal's schedule is organized, realistic, and aligned with priorities Clients feel communicated with and taken care of Matters are moving forward consistently without unnecessary delays The office feels organized, steady, and under control Problems are handled early "” before they become bigger issues About the FirmElville and Associates is an estate planning and elder law firm focused on helping families make thoughtful, well-informed decisions.
