Position SummaryThe Executive Assistant (EA) provides sophisticated, high-level administrative support and serves as the primary point of contact for the Office of the Managing Director. This role requires a seasoned professional with a minimum of 7-10 years of experience who possesses the judgment and poise necessary to interact with internal and external stakeholders. The EA is responsible for optimizing the Executive's time, safeguarding confidential information, and ensuring the seamless operation of the Executive Office.Primary Responsibilities Strategic Calendar & Workflow ManagementProvide comprehensive calendar management, exercising autonomy in prioritizing requests and resolving scheduling conflicts.Act as the primary "gatekeeper," vetting all internal and external inquiries to ensure the Executive's time is focused on the organization's highest priorities.Anticipate the Executive's needs by preparing daily briefings, relevant dossiers, and logistical backgrounds for all engagements. Communication & LiaisonServe as the formal liaison between the Executive and the leadership team, staff, parent company and external partners.Draft, edit, and finalize high-stakes correspondence, including board materials, legal documents, and corporate reports.Maintain a high level of professional diplomacy when handling sensitive inquiries or grievances. Confidentiality & Information StewardshipMaintain absolute discretion regarding sensitive corporate, financial, and personnel-related information.Organize and secure confidential records, ensuring compliance with EAE USA's data protection protocols.Manage sensitive projects that require a high degree of ethical judgment and professional integrity. Operations & LogisticsCoordinate complex, multi-leg international and domestic travel, including the management of visas, ground transport, and contingency planning.Oversee the execution of executive-level meetings and events, ensuring all technical, logistical, and material requirements are met.Candidate QualificationsExperience: A proven track record of supporting C-Suite or Senior Executives within a corporate environment.Education: Bachelor's degree in Business Administration, Communications, or a related field is required.Core Competencies:Exceptional command of the English language (written and verbal).Advanced proficiency in the Microsoft Office Suite (Expert-level Outlook and PowerPoint skills).Superior organizational skills and a meticulous eye for detail.Attributes: A calm demeanor under pressure, a proactive approach to problem-solving, and a steadfast commitment to the organization's mission. Detail oriented and highly organized is a must.
