We are seeking a qualified candidate to support key programmatic activities, provide administrative support, and assist with the coordination of restoration initiatives.Responsibilities:Provide executive, operational, and project support to the client.Ability to prioritize and deliver multiple tasks under tight time frames.Dedicated to customer service and able to contribute expertise and knowledge supporting project/program tracking, data analysis and documentation, program document preparation and presentations, and budget and field support tracking.Clerical functions such as updating forms, correspondence with the client, maintaining spreadsheetsFollowing up on tasks/assignments to ensure task are complete by their specific deadlines Maintaining and updating distribution list, reconciling quarterly bills, and uploading monthly reports and expense reportsManage travel arrangements and schedule off-site meetings (coordinating all logistical aspects)Coordinating with clients and partners on training schedules, coordinating invites, assessments and issuing training certificatesManage agency purchase requests and records of accounting for purchases made.Ensure FOIA compliance with agency records by applying NARA general records schedule to files in the agency g-drive.Creating and updating Standard Operating Procedures Organize meeting and call packages for organizing in-person meetings, securing meeting space, gathering A/V equipment, and helping set up, and other general meeting room organization.Work with Program staff to ensure all additional oversight activities (field visits, meetings) are tracked in annual Technical Oversight and Advanced Grant Monitoring Plan SchedulesTrack completion of Field Site Visit Observation Forms and send reminders as needed to Program staff to complete formsProvide support for organizing program staff documentation and information requests related to Enterprise Risk ManagementProvide administrative support for environmental compliance reviews and coordinationSupport for Grant Application Reviews, Technical Oversight and Environmental ComplianceSupport Program staff tracking of applications assignments and reviews; and technical oversight of awarded projects, reporting dates, and oversight needs o Work with Program staff to ensure all additional oversight activities (field visits, meetings) are tracked in annual Technical Oversight and Advanced Grant Monitoring Plan Schedules Track completion of Field Site Visit Observation Forms and send reminders as needed to Program staff to complete forms Provide support for organizing program staff documentation and information request relate to Enterprise Risk ManagementEducation/Certifications:Two Years of College or Associate's DegreeRequired QualificationsExperience in using MS Office products(Word, Excel, PowerPoint, etc.) and GSuite applications (Google Docs: Documents, Sheets, Presentations)One (1) year experience in ecosystem restoration;Experience organizing and managing data and working with computer-generated reports and extracting data from databases to develop and generate information and summary data to support such activities as technical evaluations, management, and financial record keeping.Oral and written communication skills to effectively exchange information and convey ideas and concepts to a variety of stakeholdersAbility and willingness to receive training and directionExceptional organizational and multitasking skills and the ability to coordinate with multiple, geographically dispersed project members and teamsAbility to work independentlyAbility to read, interpret, and apply general procedural guidelines, with some knowledge of environmental laws, regulations, policies, processes, and procedures preferredAbility to thrive in a fast-paced and deadline-oriented environmentDesired Qualifications:Environmental Science background2-5 years in administrative, office coordination, or operations roles.Experience multi-tasking, a team-player with experience working in a high performing team environment who welcomes the opportunity to serve across multiple departments/programs.Strong command of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)Comfort with office technologies, scheduling tools, and basic troubleshooting.Data entry accuracy and familiarity with spreadsheets and documentation systems.Attention to detail and accuracy in documentation and reporting.Personal Qualities:Customer Oriented Availability Professional and Pleasant Demeanor Organized
