POSITION SUMMARYUnder the direction of the Director of Administration, this position provides comprehensive administrative, copy and mail, and office services support to attorneys, staff, and Firm operations. This role combines administrative support, copy/print services, mailroom operations, and general office support.KEY RESPONSIBILITIESAdministrative SupportProvide general administrative support to attorneys and staffResponsible for booking all travel request for attorneys and designated support staff to include airline reservations, hotel reservations, and car rentals. Forwards necessary documentation to Director of Administration and HR for approvalResponsible for ordering office and lounge supplies. Manages inventory of supplies and orders as neededAssists with Hospitality Services. Duties include preparing conference room set up for in-house meetings and clearing up upon completion. May assist with ordering and picking up lunch ordersAssists with reception desk coverage during lunch hour and breaks. Perform duties of the receptionist in his/her absenceCopy Center & Document ServicesComplete copy, print, scan, and binding requests for attorneys and staff with attention to detail and timelinessMaintain confidentiality of all client and firm materialsTrack, log, and prioritize tasks using internal job tracking systems or logsDeliver completed jobs to the appropriate attorney, staff member, or office locationCommunicate clearly with requestors to clarify special instructions, deadlines, or specificationsMailroom OperationsReceive, sort, and distribute incoming mail and packagesPrepare and process outgoing mail, including interoffice deliveries, using appropriate postage, and shipping methodsAssist with hand deliveries and courier services as neededKNOWLEDGE AND SKILLSGood communication and interpersonal skillsHigh attention to detail and strong task follow-throughAbility to follow written and verbal instructionsCapable of managing time and competing priorities in a high-volume settingComfortable with standard office equipment (copiers, postage machines, delivery carts)Basic computer literacy (E-Mail, document viewing, simple data entry)EXPERIENCENo prior experience required. Training will be providedPrevious work in a print shop, mailroom, or administrative services environment is a plusEDUCATIONHigh school diploma or equivalent preferredPHYSICAL DEMANDSRegular standing, walking, and use of hands and armsFrequent bending, reaching, and handling of paper and office materialsAbility to lift and carry up to 30 lbs. (with assistance if needed)WORKING CONDITIONSFull-time, on-site position at the Honolulu officeHours are in person - Monday through Friday, 8 a.m. to 5 p.m.Occasional support during early mornings, evenings, or weekends may be required
