Job Description

This is a senior Executive Assistant role reporting directly to the Chief Executive Officer. The position provides high-level administrative, operational, and strategic support across multiple executives and select family stakeholders within a multi-entity, family-owned organization.Responsibilities span business operations, financial coordination, governance activities, executive support, and select family office functions. This is a high-trust, high-visibility role requiring strong judgment, discretion, and the ability to operate in a fast-moving executive environment.Reporting StructureDirect support to CEO & PresidentCOO Interaction with CFO, board members, executive leadership team, and family stakeholders Coordination with internal teams across business, legal, finance, and operations Core ResponsibilitiesExecutive & Strategic SupportManage complex and constantly shifting CEO calendar with a high level of prioritization Coordinate executive meetings, leadership sessions, and strategic planning discussions Support communication flow between CEO, executives, board members, and stakeholders Prepare materials and logistics for board meetings and executive leadership meetings Serve as a key gatekeeper, ensuring appropriate prioritization and follow-through Business, Financial & Governance SupportCoordinate business and legal filings and reporting across multiple entities Assist with financial tracking, budgeting coordination, and executive-level reporting support Support governance-related activities, including board communications and documentation Help maintain structured processes across business units and entities Travel CoordinationFull-cycle domestic travel coordination (primarily Delta-based travel) High-volume itinerary management with frequent changes and last-minute adjustments Coordination of transportation, lodging, and travel logistics Support seasonal travel spikes (trade shows/branch visits) Approximately 10% or less travel expectation for the EA (primarily domestic)Events & Executive EngagementSupport internal leadership summits (20-25 attendees, offsite within driving distance) Assist with global/strategic leadership meetings and executive events Coordinate larger family events 100+ (holiday gatherings, reunions, special events) Partner with stakeholders on event logistics, scheduling, and execution Family Office & Select Personal SupportLimited personal support for CEO and family Maintain and utilize internal family directory and contact systems Point for most ELT/Board members Support occasional urgent or after-hours needs (travel disruptions, access issues, "911" requests)
