Job Description

Summary: Responsible for the coordination of overall office activities and operations.Essential Functions:Supervise administrative staff and divide responsibilities to ensure optimal performanceManage scheduling and time and attendance management for administrative support teamMaintain office services by organizing office operations and procedures, controlling correspondence, designing filing systems, assigning and monitoring clerical functions Build on and create procedures to help our business run efficiently while meeting or exceeding client expectationsReview and proof financial statements, proposals, reports, correspondence, etc.Make adjustments to processes where necessary, using data to support your decision.Negotiate the purchase of office supplies and office equipment, etc.Review, approve, and track orders for the office, including but not limited to: supplies, snacks, toiletries, miscellaneous special-order items, etc.Oversee the maintenance of buildings, grounds, security and office equipment. May also include scheduling repairs, renovation projects and cleaning. May direct maintenance staff and manage contractor and vendor relationshipsServe as administrative support for all professional service areas of the firmProcess and assemble client deliverables including but not limited to financial statements, tax returns, cost reports and presentation highlights.May assist with Accounting and Bookkeeping activities such as preparing checks, creating budgets, calculating billing statements, preparing and submitting tax forms, coding documents, compiling financial records, managing inventory records, accounts payable, accounts receivable and reconciliation activitiesCoordinate and execute special office projectsAssist in business development efforts with client alert emailFacilitate meal provision for training and in-house meetingsLiaison and support for administrative staff in Atlanta office as needed Create and/or update process and procedure manuals for administrative positionsOther duties as assignedEducation/ Skills / Work Experience: Supervisory experience required/preferredProven office management, administrative experienceProfessional service firm experienced preferredMinimum five years' office/clerical support experienceBachelor's Degree in Business or related field preferredAbility to maintain confidentiality related to all information including internal and client dataStrong computer skills, including Microsoft OfficeKnowledge of accounting, data and administrative management practices and proceduresExcellent written and verbal communication skillsMust be a strong proofreader and well versed in editing professional documents.Comfortable managing competing priorities, moving quickly, independent problem-solving, and going above and beyondStrong organizational and attention to detail skillsConservative conduct, communication and appearance Team player Adaptable and flexibleWorking Conditions: Routine sitting, standing, walking, bending, and squattingOccasional lifting of up to 25lbs
