We are looking for someone with experience working in an engineering, construction, inspection, environmental, or professional services company who understands the fast-paced nature of coordinating projects, clients, schedules, proposals, and office operations.This role combines office management, project administration, estimating support, bookkeeping, and client coordination. The ideal candidate is detail-oriented, confident in managing multiple priorities, and comfortable communicating with contractors, property managers, consultants, insurance professionals, and internal field staff.This is a key operational role within the company with strong long-term growth potential.ResponsibilitiesManage daily office operations and maintain organized administrative workflowsCoordinate project scheduling, technician calendars, and client communicationsAssist with preparing work orders and project documentationSupport project management activities, including tracking project status, deadlines, reports, and billingHandle invoicing, collections, and basic bookkeeping using CRM.Manage incoming calls, emails, and front desk responsibilities with professionalismMaintain accurate records through data entry, filing, and document managementSupport the project administration team with client deliverables and internal coordinationAssist leadership with administrative and executive support tasks as neededOrder office supplies, maintain office organization, and oversee general office operationsCoordinate travel arrangements, meetings, and correspondence when requiredProvide exceptional customer service to clients, vendors, and team membersPreferred ExperienceWe strongly prefer candidates with prior experience in:Engineering firmsConstruction companiesEnvironmental consulting firmsInspection or industrial services companiesRestoration or insurance-related industriesExperience supporting field operations, coordinating projects, or assisting estimators/project managers is highly valued.Qualifications & SkillsExperience in office management, project coordination, project administration, or operations supportExperience with estimating, scheduling, or project management workflows preferredProficiency in QuickBooks, Microsoft Office (Excel, Word, Outlook), and Google WorkspaceStrong organizational and multitasking abilities in a fast-paced environmentExcellent communication and customer service skillsHigh attention to detail and accuracy with data entry and documentationAbility to prioritize multiple projects and deadlines effectivelyProfessional phone etiquette and experience with multi-line phone systemsExperience with invoicing, collections, and administrative financial tasksBilingual (English/Spanish) is a plusStrong problem-solving skills and the ability to work independentlyWhat We're Looking ForWe want someone who takes ownership, stays organized under pressure, and can help keep projects and office operations running smoothly.
