The Loan Documentation Specialist is responsible for preparing and reviewing documentation for a range of moderately complex loan types, including commercial, commercial real estate, residential mortgage, and consumer loans. This role ensures the accuracy and compliance of loan packages by applying thorough knowledge of lending policies, procedures, and regulations. The specialist also serves as a key resource for the lending team, providing guidance on documentation standards and compliance updates.Key Responsibilities:Prepare loan documents for new, renewal, extension, and modification transactions across all loan types in accordance with credit approvals, regulatory requirements, and internal standards.Complete a pre-closing checklist for each loan package to ensure accuracy and compliance, with sign-off verifying approved loan terms and conditions.Review attorney-prepared documents for completeness and compliance.Coordinate the ordering and review of title work, due diligence reports, and insurance documents needed for loan closings.Calculate closing costs and prepare required disclosures, including settlement statements and closing disclosures for consumer, residential mortgage, and commercial loans.Review loan documentation packages to confirm accuracy and completeness; follow up on outstanding items and conditions to ensure timely closings.Maintain proactive communication with all involved parties, including loan officers, attorneys, title companies, and insurance agents, to facilitate seamless loan closings.Keep detailed records of loan documentation requests and maintain an up-to-date tracking log.Collaborate with loan officers and borrowers to review and negotiate documentation; regularly consult with legal counsel to ensure accuracy in attorney-prepared documents.Provide support to internal and external stakeholders with documentation inquiries and requests.Process lien releases for paid loans and manage record retention and retrieval of archived files.Advise lending staff on documentation-related questions or issues.Mentor and train junior team members and conduct quality control reviews on their work.Stay current on federal and state lending laws, banking regulations, and internal policies to ensure full compliance and avoid any misleading, unfair, or deceptive practices.Support HMDA data collection and reporting efforts.Assist the Loan Administration Manager with special projects and departmental tasks as needed.Perform additional duties as assigned.Skills & Qualifications:Strong understanding of loan documentation for commercial, residential, and consumer lending.Ability to analyze and interpret complex legal and financial documents.Excellent verbal and written communication skills.Detail-oriented with strong organizational and time management abilities.Ability to manage multiple priorities and meet tight deadlines.Knowledge of risk management, due diligence procedures, and regulatory compliance.Proficient in Microsoft Office and loan documentation software systems.Education & Experience Requirements:Bachelor's degree preferred.Minimum of 3 years of experience in loan documentation, loan closing, or related areas-preferably within commercial lending.
