Executive AssistantLocation: Miami, FL (On-Site / Full Time)ALEXIS, a leading women’s ready-to-wear brand, is seeking a highly experienced and dynamic Executive Assistant to support C-level executives and help manage key operations across the company. This individual must be polished, adaptable, resourceful, and thrive in high-pressure environments with tight deadlines.The ideal candidate brings 6+ years of experience supporting high-level executives, preferably within the luxury fashion, hospitality, or creative industries. This person will act as a gatekeeper, liaison, and right hand to the leadership team, ensuring that day-to-day operations and major projects run smoothly.Key Responsibilities:Serve as the primary point of contact and gatekeeper for C-level executives, ensuring seamless communication and protecting their time and focusManage complex, high-volume calendars, prioritizing meetings and last-minute changes with discretion and efficiencyCoordinate detailed domestic and international travel, including flights, accommodations, dining, and ground transportationBuild, maintain, and manage budget trackers for events, projects, and executive travelSupport retail store openings by managing timelines, vendor coordination, shipments, staffing, and budgetsPlan, execute, and oversee all company events—including office activations, store events, internal celebrations, and external client functionsPlan and manage monthly team-building eventsManage all vendors and service providers across departments, ensuring deliverables and quality standards are metServe as the primary point of contact for IT services and contractorsAssist with planning and logistics for domestic and international trade shows, including booth setup, accommodations, transportation, reservations, logistics, supplies and materialsLead onboarding and offboarding processes for employees, including IT setup, welcome kits, training and schedulingScreen resumes, own the interviewing process, and find ideal candidates for all necessary positions Negotiate favorable terms with vendors and suppliersOrganize, review, and track key company documents, executive files, and sensitive contracts with absolute confidentialitySupport internal team operations and office management tasks as neededExecute ad hoc personal and professional tasks for executives, often with little direction and tight turnaroundContinuously identify ways to improve organizational efficiency and communication across teamsAnticipate needs and solve problems independently with a can-do, no-excuses mindsetQualifications:Minimum 6 years of Executive or Personal Assistant experience, supporting high-level leadershipExperience working with high-profile or luxury clients is essential; fashion industry background highly preferredExceptional organizational and multitasking skills; able to juggle multiple priorities under intense pressureStrong written and verbal communication skills with professional and poised demeanorExtremely detail-oriented, with a proactive approach to problem-solvingHigh level of discretion and judgment when handling confidential informationPositive, upbeat attitude with the ability to motivate others and remain calm under pressureTech-savvy and proficient in Microsoft Office, Google Workspace, and task management toolsAbility to work in-person full-time in our Miami headquarters, zip code 33155What We Offer:Competitive salary based on experienceHealth insurance coveragePaid time offClothing allowanceOpportunity to grow within a fast-moving, design-driven companyThis is a full-time, on-site position based in Miami, FL.If you’re looking to take the next step in your career and play a key role in the growth of a leading luxury brand, we’d love to hear from you!
