From ranch calls in the Yampa Valley to appointments at our growing haul-in facility, we’re all about creating smooth, compassionate, high-quality care for our clients (and their beloved horses).Now we’re looking for a grounded, organized, people-smart human to step into our Office Manager role—a steady presence for our team and clients alike, and a future Practice Manager in the making.What You’ll Be Up To:Owning the front desk like a boss (phones, inboxes, scheduling, client support—you’re the calm voice in the storm). You’ll soothe our clients worries, make their path as seamless as possible so they come away knowing we are in their corner and they can trust us with their horses care. Clearly explain financial policies, maintain client paperwork and take payment and chase accounts receivable.Keep track of feed and supply ordering, inventory basics, and office operations (budget included).Schedule and keep equipment/truck repairs and maintenance on track.Create client estimates, audit invoices, and help the numbers stay clean.Sync up vet and tech schedules, making sure our on-call service is squared away, adjust for last minute staff absences and manage PTO requests (we value everyone’s ability to get away and strive to make that happen).Partner with our part-time receptionist (social media + events support included).Using tools like Slack, ProVet Cloud, Google Workspace, Canva, Mailchimp—and yes, ChatGPT is 100% fair game for managing your day.Writing monthly newsletters and helping us connect with clients in nearby regions through marketing and satellite day planning.Communication is your superpower, and you’ll keep everyone (team and clients) in the know in a timely fashion and chase up when you need to. You’ll be the go-to person for keeping things running smoothly, helping our lead vet/CEO stay focused on what she does best—caring for horses and leading our team. From day one, you’ll be her right-hand support.Where Youre Headed:This isn’t a "sit still and answer phones" kind of role. We’re ready to support your growth into a full Practice Manager position—someone who will:Recruit, hire, and train the team that keeps the practice running smoothly.Lead HR, oversee budgets, and contribute to strategic operational decisions.Prepare financial reports and performance dashboards to support data-driven planning and review with the owner.Partner closely with the practice owner (our lead vet/CEO), ensuring she can focus on high-level leadership and clinical excellence—you’ll be her right hand from day one.Develop systems and solutions that improve efficiency, enhance client experiences, and strengthen team communication.Drive business growth by identifying opportunities to improve client retention, increase appointment volume, and enhance overall practice profitability.Who You Are:We’re looking for someone who’s highly organized, proactive, and deeply collaborative—someone who thrives in a role where no two days are the same and takes genuine pride in helping a team and a business run seamlessly.
