Entity: Customers & ProductsJob Family Group: Business Support GroupJob Description: We are seeking a highly organized, proactive, and detailed-oriented Personal Assistant to support the Head of Guest Experience and Head of Digital Enablement & Engagement.  The Ideal Candidate will be a self-starter with excellent organizational and communication skills with the ability to manage multiple tasks efficiently. This role requires a high level of discretion, professionalism, and the ability to work and adapt in a fast-paced business environment.Key Responsibilities:Executive Level Administrative Support:Proactively manage and maintain the calendar, including coordinating and scheduling of key meetings.Proactively manage the travel schedule and associated logistics of the leader’s travel needs. Coordinate the execution of all expense reporting utilizing Concur Expense System.Prepare and edit correspondence, communications, presentations and other documents as needed.Coordinate all executive meetings and associated logistics for all key internal and external parties.Organize and maintain files and records, ensuring confidentiality and security of sensitive information.Coordinate all necessary legal execution of documents, as needed. Facilitate and own the agendas for all leadership team meetings and coordinate with the relevant stakeholders to ensure effective time management.  Project Management:Assist in the planning and execution of projects, ensuring deadlines are met and objectives are achieved.Coordinate with various departments and external partners to facilitate project progress.Track project milestones and deliverables, providing regular updates to the leader.Event Coordination:Plan and coordinate events, meetings, and conferences, including logistics, catering, and guest arrangements.Prepare agendas, take minutes, and follow up on action items from meetings.Qualifications:Proven experience as a Personal Assistant, Executive Assistant, or similar role.Strong organizational and time management skills, with the ability to prioritize tasks effectively.Excellent verbal and written communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.Ability to work independently and as part of a team, demonstrating flexibility and adaptability.High level of discretion and confidentiality.Strong problem-solving skills and attention to detail.This role supports the Head of Guest Experience and Head of Digital Enablement.  This role sits on the leadership team and plays an integral role in ensuring the leadership needs are met and key meetings are delivered effectively.
