Business Office Manager - Large Senior Living Community We are seeking a Business Office Manager to join our team at our large premier senior living community in Grand Junction, CO. As the Business Office Manager, you will be responsible for overseeing and managing all financial aspects of the facility's operations, including billing and collections and accounts payable. A growing company with opportunities for advancement Company sponsored training, tuition reimbursement, and other learning opportunities Key Responsibilities Pre-Admission & Admission Support Verify insurance in CRM. Review Common Working File (CWF) for Medicare/Managed Care residents. Confirm prior Medicare days, qualifying hospital stays, and secondary/copay coverage. Complete admission paperwork and verify payer authorizations. Issue financial letters at admission or upon payer changes. Conduct asset searches to support Medicaid applications. Census & System Maintenance Maintain accurate daily census records. Set up and update payer tree assignments. Reconcile midnight census daily. Perform weekly PCC dashboard cleanup for accuracy. Billing & Collections Generate and send monthly private pay statements. Collect private pay, patient liability, and copay balances. Manage cash collections and postings for private pay, Medicaid, and Hospice. Process refunds per state regulations. Bill Medicaid for room/board and secondary Part A and B coverage. Create and submit claims in PCC, upload to clearinghouse, and resolve rejections with AR team. Make Medicaid adjustments as necessary. Participate in AR calls to resolve outstanding balances. Medicaid & Government Program Compliance Verify ULTCs are completed and logged. Submit 5615s for admissions/discharges. Support Medicaid redetermination and recertification processes (RRR). Contract & Hospice Coordination Manage and update hospice contracts. Coordinate hospice billing. Medicare/PDPM Management Attend PDPM meetings to verify Medicare days used and copay start dates. Review and verify documentation, coverage, and authorizations. Maintain concurrent authorizations and assist with discharge planning. Month-End Close (MEC) & Triple Check Participate in Month-End Close processes to ensure accurate/timely Medicare billing setup. Complete month-end checklist and reports. Perform Triple Check with clinical, MDS, therapy, and billing teams to ensure claim accuracy. Accounts Payable (AP) Process invoices and vendor payments per company approval policies. Match invoices with purchase orders and packing slips. Review and correct GL coding to meet compliance standards. Reconcile AP accounts monthly with corporate accounting. Monitor vendor contracts for compliance and renewal. Resident Fund Management (RFMS) Open, maintain, and reconcile resident trust accounts. Process deposits and withdrawals in compliance with regulations. Provide monthly trust statements and safeguard petty cash usage. Prepare annual trust accounting reports as required by the state. Ensure resident fund balances remain within Medicaid eligibility thresholds. Close accounts promptly upon discharge or death and issue refunds as needed.
