The Student Services Coordinator plays a critical role in powering accurate, timely, and compliant educational data that drives student success. This position is responsible for the precise entry, acquisition, and management of academic, enrollment, and attendance data, as well as providing system support to internal teams and partners. The Student Services Coordinator supports the maintenance, monitoring, and reconciliation of data, while generating required reports with a high degree of accuracy, urgency, and professionalism. This role also contributes to planning and tracking academic requirements to ensure students are on the path to meeting their goals. Working under the direction of the Senior Academic Advisor and in collaboration with the Data & Reporting team, this position is an integral part of the program department, advancing the company mission through data quality and integrity. ‖ Responsibilities Include: Reviewing and auditing student information and academic data for accuracy and completeness, and resolving discrepancies (e.g., demographics, enrollment/withdrawal, attendance, course schedules, graduation status, etc.). Generating, analyzing, and distributing required reports within established timeframes and service-level expectations; retrieving and compiling data from systems or electronic files as requested. Ensuring compliance with all ChanceLight Education policies, procedures, and applicable federal, state, district, and privacy laws, including FERPA and HIPAA. Supporting training and coaching of end users on proper data entry, maintenance, and reporting practices to drive consistency and data integrity across programs. Entering, updating, and maintaining data within internal and district systems accurately, efficiently, and in alignment with defined standards and workflows. Assisting with the annual assurance review process by compiling required documentation, monitoring timelines, and supporting follow-up actions. Maintaining an effective and efficient records management system and coordinating the preparation and distribution of diplomas, certificates, and awards. Serving as an administrator for the student information system, Office 365 applications, and Power BI, including assisting with new and rollover district contract setup and maintaining accurate district and center details throughout the school year. Assisting with the annual calendar process, including gathering required inputs, monitoring approvals, and updating systems as needed. Providing ongoing and project-based support to the Senior Academic Advisor and Director of Data & Reporting, leveraging a hybrid schedule of in-office and remote workdays to meet business needs. Performing other duties and responsibilities as assigned to support data quality, operational excellence, and student success. ‖ Qualifications Required: High school diploma or equivalent with passage of basic skills test. Associates degree or higher in a closely related field of study preferred. Minimum 1 year prior experience working in a clerical and/or administrative role; or equivalent combination of education, training and/or experience. Minimum 2-5 years prior experience working in a bookkeeping and/or office administration function preferred. Prior experience and/or highly proficient in reading, writing, analyzing and interpreting detailed reports and business correspondence. History of success building credibility, effectively managing multiple projects and collaborating effectively across all organizational levels. Proven ability to effectively prioritize tasks and meet deadlines while maintaining organization and attention to detail. Demonstrates self-confidence, demonstrates flexibility and adapts easily to changing priorities and new initiatives. Ability to effectively present information and respond to questions from groups of staff members, students, parents and the public. Advanced oral and written communication, organization, conflict resolution, multitasking, problem solving, and decision-making ability. Well-versed in the use of relevant technology including experience with computers, Microsoft Office Suite, database entry and basic office equipment.
