Position Description Summary: The Tuba Group is seeking a qualified Secretary to provide essential administrative, clerical, and document processing support. This role involves managing data entry workflows, processing mail and permit applications, maintaining records in electronic systems, and ensuring accurate and timely administrative services in support of the FWS Permitting Program.Do you have the right skills and experience for this role Read on to find out, and make your application.Responsibilities: Receive, review, and process applications, forms, and correspondence.Accurately enter, code, and audit data into internal systems such as ePermits.Conduct quality assurance checks to ensure accuracy and compliance with standards.Maintain structured naming conventions and digital/physical filing protocols.Organize and store permit and registration documents in both digital and paper formats.Maintain logs, spreadsheets, and shared drive folders to ensure data consistency.Assist with file inventory, retention, disposal, and archival tasks per federal guidelines.Support digitization and categorization of records, including secure disposal as needed.Interface with supervisors, team leads, and government staff on application status and system updates.Respond to public inquiries regarding permit processes and submission requirements.Attend training sessions to stay current with policy and software/system updates.Handle incoming/outgoing mail, checks, and accompanying correspondence.Perform scanning, printing, mailing, and clerical filing tasks.Draft form letters and maintain communication records.Provide support to special permit program areas and assist with ad hoc tasks.Skills & Experience: Minimum of 3 years of administrative and/or data entry experience.Proficient in data entry and document coding.Strong attention to detail, particularly with high-volume repetitive tasks.Effective problem-solving and interpersonal communication skills.Ability to follow and apply the Privacy Act, and records retention.Skilled in managing and tracking workload, logging application progress, and filing system updates.Proficient with Microsoft 365 (Word, Excel, Outlook, PowerPoint, OneDrive, Teams).Comfortable navigating government electronic records systems, databases, and workflow tracking platforms.Demonstrated capability to interact with diverse stakeholders in a tactful and professional manner.Education: • High School Diploma or equivalent required.• Associate or bachelor's degree in business administration, Office Management, or a related field is preferred but not required.Security Clearance Required: Must be a U.S. Citizen.Must be able to pass a U.S. government background investigation.Eligible for Public Trust Clearance.
