Job DescriptionJob DescriptionPrivate Family Office seeks an exceptional, highly organized, and action-oriented Director of Residences to oversee all aspects of their residential portfolio, including operations, daily upkeep, logistics, and ongoing development. This role is deeply focused on preserving and enhancing the long-term value of the family's real estate assets through strategic construction oversight, renovations, and both seasonal and day-to-day maintenance.The family's residential portfolio spans New York City, Connecticut, Eastern Long Island, Puerto Rico, and Florida, with a primary near-term focus on the Connecticut property. Many of the residences are currently under renovation or construction and will be completed on a rolling basis over the coming years. The Director of Residences will oversee all properties with the understanding that not all homes are yet complete.This role requires a highly hands-on professional who can serve as a trusted representative and extension of the principals. The Director will oversee daily operations, staffing, vendor management, and large-scale construction and renovation projects, ensuring each property is meticulously maintained, fully operational, and aligned with the principals' standards and preferences. Extensive travel is required, and the Director must be present at properties as needed based on family and estate priorities.The Director of Residences will work out of the Family Office and act as the primary liaison between the principals, property managers, household staff, contractors, and service providers. This individual must be able to independently evaluate each property, identify immediate and long-term needs, and develop clear timelines and actionable plans for maintenance, capital improvements, and renovation priorities. Strong construction knowledge, budgeting expertise, and the ability to manage projects from conception through completion are essential.This is a collaborative, service-oriented role that requires discretion, flexibility, and a 24/7 mindset. The Director is expected to proactively relieve the principals of operational oversight by anticipating needs, managing complex projects, and providing regular status updates without prompting. General hours are expected to average 50-60 per week, with availability outside standard business hours as needed.Key Responsibilities include but are not limited to:Serve as the primary liaison between the family, contractors, vendors, and staff across all residences, ensuring that Principal's preferences and desires are conveyed effectively to the support staff and all relevant parties.Relieve the Principal of operational thinking, proactively communicating which tasks are being managed and delivering status updates without prompting.Oversee day-to-day operations and long-term planning for all propertiesCoordinate and supervise renovations, construction, and maintenance projectsHire, manage, and oversee household staff, including compensation and schedulingManage vendors and contractors; negotiate contracts and ensure quality, timelines, and budgets are metDevelop and maintain detailed preventative maintenance plans (1-, 5-, and 10-year outlooks)Ensure all homes are guest- and family-ready at all timesMaintain detailed records, invoices, expense tracking, COIs, permits, and property documentationEnsure legal, regulatory, and insurance compliance across all jurisdictionsStrategically document and maintain household systems and manualsConduct regular site visits and inspections; proactively address issues and emergenciesAct as an extension of the principals, representing their standards, preferences, and interests at all timesContract negotiation, dealing with various service providers, contractors, and vendorsensuring the financial stability and operational efficiency of the propertiesensure that essential expenses are managed judiciously while unnecessary costs are curtailed to maintain financial equilibrium.Nurturing and sustaining relationships with various contractors, ranging from handymen to landscapers.
