Job description: The Property Coordinator is a highly visible, resident-focused role responsible for the day-to-day coordination and smooth operation of the community.Do you have the following skills, experience and drive to succeed in this role Find out below.This position serves as the primary point of contact for residents, supports the HOA Manager, and plays a critical role in resident communication, vendor coordination, building operations, and community engagement.This role is ideal for an extraverted, organized, and proactive professional who enjoys being onsite, interacting with residents, and keeping building operations running efficiently and compliantly.Key Responsibilities Resident Relations & Community Engagement Serve as the primary day-to-day contact for residents, responding promptly and professionally to inquiries, concerns, and complaints.Coordinate and support community events, resident communications, and engagement initiatives.Manage move-ins, move-outs, amenity reservations, and building logistics, including walkthroughs with new residents, in compliance with HOA policies and Rules & Regulations.Maintain a highly visible and consistent onsite presence to support residents and building operations.Building Operations & Inspections Conduct daily rounds of common areas, identifying issues or violations and reporting them to the HOA Manager.Conduct and document weekly comprehensive inspections of all common areas and report issues to the Building Engineer.Create, update, and complete common area work orders, maintaining accurate task logs and inspection documentation.Maintain and optimize building control software as needed to support efficient operations.Vendor & Staff Coordination Coordinate vendor access, schedules, and onsite work.Specifically oversee and coordinate security and janitorial staff.Assist with obtaining quotes, managing repairs, replacements, and adjustments to equipment, ensuring compliance with manufacturer specifications and industry best practices.Assist in preparing RFPs and scopes of work, and support bid comparison and analysis.Maintenance & Systems Support Document and maintain preventative maintenance (PM) schedules to ensure system reliability, longevity, and minimal downtime.Maintain accurate and detailed records of all maintenance activities, inspections, and system performance using a Computerized Maintenance Management System (CMMS).Manage and update building plans, schematics, and operational manuals.Financial & Administrative Support Assist in the annual budget planning process and regularly monitor expenditures.Participate in the invoice review and approval process through Strongroom.Track projects, inspections, and vendor performance to support budget and operational goals.Emergency Response & Compliance Act as a secondary point of contact for the Fire Department, JCI, and regulatory agencies during inspections and emergencies.Support emergency response efforts related to building systems, including power outages, leaks, HVAC failures, and other urgent issues.Ensure compliance with HOA policies, building codes, and regulatory requirements.Team Collaboration & Communication Collaborate closely with Board Directors, HOA Management, building staff, residents, and vendors to ensure seamless operations and high resident satisfaction.Communicate clearly and professionally regarding project schedules, system status, planned outages, inspections, and emergency procedures.Qualifications & Skills Strong interpersonal and communication skills with a resident-first mindset.Highly organized, detail-oriented, and able to manage multiple priorities simultaneously.Comfortable in a highly visible, onsite role requiring frequent resident interaction.Experience coordinating vendors, building operations, or property management preferred.Familiarity with work order systems, CMMS platforms, and building operations software is a plus. xijylhu Ability to remain calm, professional, and solution-oriented in fast-paced or emergency situations.Job Type: Full-time Benefits: 401(k) 401(k) matching Dental insurance Employee assistance program Health insurance Life insurance Paid time off Vision insurance Work Location: In person
