Job description:Our government client is seeking a part-time clinic manager up to 20 hours per week to take over scheduling, procurement, and reporting duties currently handled by the Chief Veterinarian. This will free up licensed veterinary staff to focus on medical care and surgeries, maximizing the efficiency and sustainability of expanded services and decrease preventable illnesses and disease.Responsibilities:HR Management:Plans and manages staffing and schedules to ensure optimal productivity and service.Oversees staff development, including CE opportunities and licensure/certification tracking for RVTs.Schedules and leads regular team meetings.Financial Management:Partners with the Director and Business Operations Manager to develop and monitor the clinics operating budget.Reviews and submits accounts receivable/payable to the Office Services Coordinator.Tracks grant funds, provides updates to the Contracts Manager, and supports new grant proposals.Conducts fee analyses and recommends fee schedule updates to the Business Operations Manager.Operations & Practice Organization:Directs daily administrative operations to maintain a safe, efficient environment for patients, clients, and staff.Assists the Chief Veterinarian with policy and procedure development or updates.Manages inventory of medical supplies, pharmaceuticals, controlled substances, instruments, diagnostic equipment, and office supplies.Oversees inventory control, purchasing, cost-effectiveness, and vendor relationships.Works with Shelter Operations Managers and Business Operations Manager on facility maintenance, equipment repair, and equipment procurement.Maintains compliant, secure medical records in accordance with legal requirements.Regulatory Compliance & Safety:Assists the Chief Veterinarian in ensuring compliance with all applicable local, state, and federal regulations.Marketing & Client Relations:Collaborates with the Social Media Specialist on internal and external marketing to promote clinic services and mission.Contributes content for the website and social media.Develops client education materials and programs.Implements strategies to enhance client engagement and loyalty.Partners with the Community Outreach Manager on special events, outreach, public education, workshops, conferences, and public hearings.Contract Administration:Serves as subject matter expert for contracts related to veterinary services, lab testing, waste disposal, equipment, and facility needs.Works with the Contracts Manager on RFP development and proposal review per County guidelines.Monitors contractor performance, renewals, preventive maintenance agreements, and contractual compliance.Qualifications:Experience in veterinary clinic administration, animal services, public health, or a closely related field is strongly preferred.Multilingual is a plus.Work Location: In personRequired qualifications:Legally authorized to work in the United States18 years or older
