In this role, you’ll provide essential administrative support, from reception and clerical tasks to bookkeeping and special projects. You’ll also assist leadership and staff, ensuring everyone has what they need to succeed. As a central point for internal communications, you’ll help foster team alignment and collaboration while leveraging your judgment and creativity to handle sensitive information and solve problems independently. We strive to provide a collaborative, creative environment where everyone feels encouraged to contribute to our processes, decisions, planning, and culture.*Your responsibilities as the Office Administrator will include: ** Oversee customer orders, provide support to members, manage applications, payments, renewals, and ensure high levels of client satisfaction.* Assist with accounts payable/receivable, prepare monthly financial reports, support budgeting, and coordinate with accountants and management on economic matters.* Manage calendars, schedule and support meetings, organize events, coordinate logistics, and assist with internal and external communications.* Handle communications, maintain office records, manage supplies, and support general office operations, including reception, facilities, and internal newsletters.* Prepare and maintain contracts, insurance policies, permissions, and corporate filings to ensure compliance with organizational and governmental requirements.*To succeed as the Office Administrator, you should have:** Bachelor’s degree or 4+ years of high-level administrative experience, with proven discretion, judgment, and ability to take ownership or direction as needed.* Hands-on, self-motivated, detail-oriented, and positive team player with solid problem-solving, research, and clerical skills.* Proficiency in Microsoft Office Suite, Adobe Acrobat, accounting and database software.* Valid driver’s license, US passport, reliable transportation, and ability to travel locally, domestically, and internationally as required.* Availability for flexible work hours, ability to pass a security background check, and provide excellent professional references.*About Us:*At *SPEC (we’re driven by innovation, precision, and excellence.
