Job DescriptionRegional Administrative AssistantThe Administrative Assistant is responsible for providing administrative support to the Regional Director. The position requires continual attention to detail, understanding priorities, meeting deadlines, and the ability to juggle multiple competing tasks and demands. This work also requires flexibility and coordination with other team members to accomplish overall team goals. This position is a member Division Team & Administration Team, which includes colleagues from various departments.RESPONSIBILITIES: Provide administrative support to the Regional Director, as well as general office administrative support to include: Assist with the daily schedules of RD, Support partners & administration; keeping appointments and meetings on time or changing schedules when necessary and ensuring they are prepared in advance of each meeting. Support the recruitment process including scheduling and coordinating interviews, making travel arrangements for candidates. Use Microsoft Word and PowerPoint to develop and revise documents, apply templates to existing documents, and format materials to align them with branding standards. Use Microsoft Excel to create and update simple spreadsheets, charts, and graphs Use Microsoft Visio to create and update organization charts Compose routine letters, emails and memoranda ensuring accuracy and professionalism Prepare and process expense reports Prepare and populate various Regional reports monthly with the ability to identify trends in the data, and distribute to partners. Establish and/or maintain filing system. Develop and/or maintain databases/spreadsheets for the Division.  Manage external/internal contacts for teams proactively, understanding who they are and keep track of periodic communication Assist in gathering documentation in response to inquiries Enhance organization and department effectiveness and efficiencies through means of identifying and owning steps to improve processes. Participate collaboratively in cross-functional teams and projects to develop, implement, and maintain organizational processes, tools, and documentation, as assigned Plan and coordinate on-site and off-site meetings including:Assist with preparing agendas and meeting materials, including assembling research/background information, developing content and distributing information to members of the meeting in advanceMake room, facility and meal/catering arrangements, coordinate activities and vendors during the meeting, and ensure all logistical aspects of the meeting run smoothlyArrange travel as neededOther duties to include:Provide back-up to other Administrative staff as necessaryOther projects and duties as assignedPay RangeThe typical pay range for this role is:Minimum: 18.50Maximum: 33.65Please keep in mind that this range represents the pay range for all positions in the job grade within which this position falls. The actual salary offer will take into account a wide range of factors, including location.Required Qualifications5 or more years of administrative support experience and/or project managementPreferred QualificationsAbility to interface well with internal and external business associates in a highly professional manner and to maintain the highest level of confidentiality in both internal and external relationshipsExcellent interpersonal skills and ability to collaborate effectively with other team members and administrative staffCalendar management, meeting coordination, travel coordination, etc.∙ Experience supporting leaders within the healthcare or insurance space∙ Advanced use of the Microsoft Office Suite (Outlook, Excel, OneNote, PowerPoint, and Word)∙ Demonstrated success working in an ambiguous environment∙ Demonstrated ability to prioritize and multi-task while maintaining commitment to deadlines∙ Demonstrated success using business judgment to help drive key deliverables of the business∙ Proven track record demonstrating ability to work effectively with minimal supervision and use independent judgment∙ Strong organizational and communication skills, team orientated philosophy, and problem solving skills∙ Bachelor's degree in business administration or other related field preferredEducationHigh school diploma/GED required.
