Job Description

Primary ResponsibilitiesPatient Intake & SchedulingGreet and check in patients with professionalism and empathySchedule new and established patient appointments accuratelyMaintain appointment confirmations and manage no-show documentationEnsure required intake forms, consent forms, and financial policies are completedInsurance & Billing SupportVerify commercial insurance, Louisiana Medicaid, and Medicare eligibilityCollect co-payments, deductibles, and outstanding balances in accordance with clinic policyPost payments accurately in the EHR/practice management systemAssist with prior authorizations and medication refill documentation workflowsMedication Management CoordinationCommunicate with pharmacies regarding refill requests per clinic protocolMonitor refill voicemail or portal messages and route appropriatelyEnsure refill requests meet provider policy before forwardingAdministrative & Operational DutiesMaintain HIPAA compliance in accordance with federal and Louisiana regulationsManage incoming/outgoing faxes and secure electronic communicationsCoordinate referrals and outside records requestsMaintain organized electronic and physical recordsSupport basic bookkeeping tasks such as daily deposit reconciliation (if applicable in small practice setting)Clinic OperationsPrepare provider schedules and assist with workflow efficiencyMaintain a calm, organized waiting room environmentMonitor office supplies and place orders as neededAssist with administrative projects or reporting as assignedRequired QualificationsHigh school diploma or equivalentMinimum 2 years of medical office experience (behavioral health strongly preferred)Experience verifying Louisiana Medicaid and Medicare plansFamiliarity with EHR systemsWorking knowledge of HIPAA requirementsStrong communication and interpersonal skillsAbility to handle confidential and sensitive information with discretionPreferred QualificationsExperience in psychiatric or behavioral health clinicKnowledge of prior authorization processes for psychiatric medicationsExperience working in a small private practice settingUnderstanding of trauma-informed communication principlesKey CompetenciesHigh attention to detailStrong multitasking and prioritization skillsProfessional judgment and emotional maturityDependable attendance and punctualityInitiative and problem-solving mindsetWork EnvironmentThis is an outpatient clinic environment serving patients with mental health conditions.
