Early applications are highly encouraged. Job Function Provides broad-based administrative and clerical support in support of the Distribution Department's West Hawaii District. Essential Functions Provides a wide variety of advanced and routine administrative and clerical support to the West Hawaii District and in the areas of Work management and Project Control. Initiates correspondence, maintains files/records, including policy statements, contracts, agreements, performance reports, site inspection reports, safety training records for HELCO personnel assigned to the district, etc. Assembles and compiles data from Company sources for correspondence and reports. Provides administrative support to the district including tracking data, compiling and submitting reports, and ensuring compliance with applicable laws and regulations in the areas of staff training, human resources, industrial relations, safety, environmental compliance and fleet. Assists in periodic financial analysis for the district and compiles department financial updates. Assists in project/program and non-project/non-program forecast for the district and prepares input for department budget. Maintains confidential files and district records. Participates in Company emergency response activities as assigned, including any activities required to prepare for such emergency response. Basic Qualifications Knowledge Requirements: Thorough knowledge of personal computers and/or mainframe systems and applications such as spreadsheets, word processing, database management, presentation and graphics software, and statistical packages. Thorough knowledge of professional office practices and application. Working knowledge of construction and building practices preferred. Working knowledge of human resources and industrial relations principles and practices desirable. Basic knowledge of budgeting and forecasting principles and processes (including annual Operating Forecast, Capital Budgets, etc.) preferred. Working knowledge of Company policies and procedures contained in documents such as the Collective Bargaining Agreement, General Information Manual, Accident Prevention Manual, etc. Skills Requirements: Thorough organizational, conceptual and administrative skills required to handle multiple complex systems, projects, and programs with minimal supervision; ability to manage details without losing sight of broad goals. Must have or be able to qualify for a State of Hawaii driver's license. Must meet the standards for driving positions stated in the Hiring Standards for Driving Positions policy. These standards may be adjusted periodically to meet business and safety objectives. Ability to work under pressure while remaining flexible in a demanding work environment and ability to adapt to rapidly changing priorities. Ability to maintain confidence in all matters. Demonstrated ability to type at a minimum of 60 WPM (corrected). Experience Requirements: Several years (3-5) of related clerical and/or administrative experience, preferably in construction work planning and management. Experience in developing, implementing, and maintaining office organization systems required.
