SEK Interlocal #637 SPED Office Manager/Clerk of the Board12 month positionIdeal candidate would be able to start March 1, 2026 but timeline is negotiablePURPOSE: The Office Manager/Clerk of the Board serves as a key administrative professional responsible for the effective management of Interlocal office functions while providing comprehensive clerical, organizational, and procedural support to the Interlocal Board. This position ensures efficient office management, accurate recordkeeping, compliance with legal and policy requirements, and effective communication between the Board, administration, staff, and the public. QUALIFICATIONS:Educational Requirements Bachelors degree preferred Must have a high school diploma or equivalent Experience Background/experience in leadership or management High level of computer skills, including but not limited to GoogleDrive, Excel, etc. and the ability to navigate a variety of online systems and databases. FUNCTIONS AND RESPONSIBILITIES:Universal SEK Interlocal #637 Standards: Support the philosophy and mission of the SEK Interlocal #637 and the value of education. SUPERVISORY RESPONSIBILITIES: The office Manager/Board Clerk will provide direct supervision and leadership for Interlocal office operations and Board administrative functions. Responsibilities include, but are not limited to, the following: Oversees and coordinates the daily work of district office staff, including clerical and administrative personnel. Assigns, prioritizes, and reviews work to ensure accuracy, efficiency, and compliance with district policies and legal requirements. Participates in the hiring, onboarding, and evaluation of district office personnel, in collaboration with the Director or designee. Establishes and implements office procedures, workflows, and best practices to ensure smooth and effective office operations. Addresses performance concerns and operational issues within the district office in accordance with district policies and applicable laws. SPECIFIC FUNCTIONS AND RESPONSIBILITIES: Attend monthly Board meetings and any special Board meetings called. Prepare and distribute all required documents related to meetings. Maintain accurate records of all Board reports and information. Have knowledge of policies related to board meetings and board structure; and share with the Director and Board. Have knowledge of Interlocal board policies and maintain record keeping of all board policies. Designated agent for KPERS Management of staff leave, sick leave pool, and FMLA documentation on behalf of the agency. Acts as Office Manager and conducts office meetings, at least monthly, but more as needed. Attend necessary trainings for the systems utilized in our organization (SUI, KIAS, KPERS) Each November (before December 1), prepare a list of possible retirees. Compute early retirement benefits and notify eligible employees of the early retirement incentive package available to them. Assist with completion of the Personnel Categorical Aid report Manage and administer Master Teacher Test for paraeducators Assist with para inservice hour documentation Complete necessary KSDE reports within KSDE online systems as appropriate Manage Workman's Comp insurance claims Coordinate management of professional licensure tracking Register staff for appropriate professional development opportunities as directed Manage tuition pool request system Complete Employment Verifications for all new employees and past employees For cross-training, be able to perform job duties of Administrative Assistant and payroll (cross training). Scheduling and coordinating of Interlocal administrator meetings Set up and maintain conference rooms with refreshments and supplies to support smooth and professional meetings and professional developments. Oversight of office cleanliness, maintain stocked supplies, and monitor basic office functionality PHYSICAL REQUIREMENTS/ENVIRONMENTAL CONDITIONS: Requires prolonged sitting or standing. Requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials. Occasional stooping, bending, and reaching. Must be able to work in a variety of noisy and crowded environments. Must be able to demonstrate effective organizational skills and work with a deadline. Maintain a valid driver's license and be able to operate a vehicle. OTHER GENERAL RESPONSIBILITIES: Participate in staff meetings, as requested. Demonstrate effective interpersonal relationships with others. Maintain appropriate, confidential records and provide timely reports. Demonstrate effective written and verbal communication skills. Maintain a positive attitude. Assist in general office functions, as needed, in an effort to provide continuity in office operations. See that Interlocal policies are observed during all activities. Adhere to all district and Interlocal health and safety policies, including all precautions of the Bloodborne Pathogens Exposure Control Plan. Other duties as assigned by the Director of Special Education. SALARY: Salary starting at $40,000 and based on experience and education for this 12 month position LENGTH OF TERM: 12 month position RESPONSIBLE TO: Director and/or Assistant Directors
