Job Opportunity in Physics Division Office The selected candidate will work within the Physics Division Office (P-DO) as a member of the Administrative Operations Team. Under the direct supervision of the Division Administrative Assistant as well as other Division Office Management Team Members. The individual will support day-to-day administrative activities. The selected candidate will receive mentoring and training from the P-DO administrative staff. Job responsibilities for this position are included, but are not limited to: Perform administrative and office-related functions requiring sound judgment, initiative, and accountability. Prepare, review, and produce a wide range of professional internal and external correspondence, including correspondence requiring Division-level signature approval. Manage and coordinate multiple calendars and complex schedules. Coordinate meeting and conference scheduling, including announcements and logistical arrangements. Compile, organize, and develop briefing materials and meeting documentation. Maintain and update organizational charts for the Division Office and associated groups. Provide administrative support at the group level, as needed, to ensure continuity of operations. Assist with tracking chemical inventories and laboratory spaces within P-Division. Develop and maintain laboratory and office signage in support of Division operations. Minimum Job Requirements: Administrative Support: Knowledge of and experience in providing administrative type support services and activities, including general office management. Ability to gain efficiency in managing complex calendars and coordinate meetings. Organization and Time Management: Ability to work under limited supervision while maintaining quality in daily operational work. Ability to organize, prioritize, and complete projects with strict deadlines and changing priorities. Ability to work effectively as part of a team in a fast-paced environment with frequent interruptions and multiple customers. Business Systems: Computer skills in MS Office Suite (Word, Excel, Outlook, PowerPoint), SharePoint, Teams, and Webex. Communication: Demonstrated interpersonal communication skills (verbal and written) while interacting effectively with all levels of employees and managers. Excellent record of dependability, availability, attendance, and punctuality. Education Experience: Currently enrolled (12 semester credit hours or full-time equivalent) in a related accredited undergraduate degree-granting program (Business Administration, Human Resources, Accounting). Must have and maintain a cumulative GPA of at least 2.75 on a 4.0 scale (or equivalent). Entering first-year students must provide documentation indicating matriculation into an accredited undergraduate degree program.
