Administrative Assistant The Administrative Assistant must have excellent organization skills and work well with both internal and external customers. Must be a skilled multi-tasker, reliable and committed to consistently meeting deadlines. Will exercise independent judgement to plan, prioritize, organize diversified workload, and recommend changes in office practices to increase proficiencies. Position is located within a sports events facility. Weekly schedule may change depending on game day needs. Position Requirements Essential Functions: Type and design billing sheets for each schedule event send them off to billing team in Roseville. Ability to work under time constraints and meet specific timelines. Help HR with rehiring Helping PROS with any admin based issues or concerns. Such as payroll questions, PTO or any ADP issues. Review paper timesheets from each shift and/or event from assign location which includes totaling up the hours and making sure the time is accurate. Calculate pricing with the temping agency Email each timesheet to correct staffing company, include calculate pricing. Any billing issues go through this position before company sends invoices. Process timesheets into AODOCS Train Management and Supervisors on processes as needed Reviewing time punches daily, final review will be Friday, communicating with management on any missed punches or issues involving their punch in and out times. Daily spreadsheets of hours worked/requested for each venue. Attend weekly meetings with Client and District Manager (Discuss any issues and/or upcoming events pertaining to billing) Attend weekly meetings may include TPG Huddle Hangout, Venues/Billing Fill in while other Administrative Assistants are using PTO, off and/or sick. Help out at other venues when needed (sign in and out process) Tracks Overtime and sends report. Tracks and orders office supplies. Respond to general inquires and requests. Attention to detail and keen sense of safeguarding other peoples information. Other duties as assigned by management. Promote and exhibit Company culture and values. Essential Experience and Education: High School Diploma/GED 2+ years general office administration experience Strong math and data entry skills Service industry experience preferred Microsoft Office (strong emphasis in Word & Excel) Ability to multitask in a fast-paced office environment Customer Service Strong written and verbal communication skills Physical Demands: Occasional lifting from 5 - 30 lbs., unassisted (from 0 15% of the time) Walking for extended periods of time. Manual dexterity needed for keyboarding and other repetitive tasks. The ability to bend, crouch, or stand as necessary
