DescriptionPOSITION SUMMARY: The Administrative Assistant II is responsible for administrative tasks including answering phones, registration processing, communications, database management, and other duties as required. They are responsible for managing these functions in accordance with the stated mission, goals, and policies established by the administrative staff, governing committees, and Board of Directors of the YMCA. ESSENTIAL FUNCTIONS: • Demonstrates strong relationship building skills and maintains clear, consistent communication within areas of responsibility. • Performs accurate data entry and processing for camper registrations, account maintenance, and requested changes. • Organizes, records, and files all camper forms; processes forms and payments in Personify. • Reconciles and is accountable for all revenue processed in Personify during each shift. • Maintains a working knowledge of resident camp programs, business policies, financial procedures, and online systems in order to effectively support customer transactions. • Maintains working knowledge of YMCA of the Triangle online platforms to utilize for compliance and administrative needs. Online platforms may consist of Personify, UKG Ready, Microsoft 365, among others. • Assist with processing revenue generated in Personify weekly to include batch reconciliation. • Supports Personify functions, including assisting customers, identifying and reporting duplicate records, and updating customer information. • Manages incoming and outgoing mail; assists with mail and package distribution for campers and staff. • Answers and routes incoming phone calls while providing accurate information and excellent customer service. • Provides administrative and clerical support to the Director of Administration, camp directors, and other departments, including preparing reports and creating/editing documents. • Assists with general office upkeep to maintain a clean and organized workspace. • Works a flexible schedule, including weekdays, evenings, and weekends during the summer season. • Attends required trainings and meetings. • Performs additional duties as assigned by the supervisor. QUALIFICATIONS: • High School Diploma or GED and 1-2 years of experience in office administration preferred. • Requires a professional, genuine, nurturing, welcoming, courteous and friendly disposition to relate well to customers. • Must be highly motivated, an effective problem solver and have a positive attitude. • Ability to work independently, as well as cooperatively with others. • Exceptional written and verbal communication and customer service skills. • Possess a high level of organization, ability to prioritize and possess the capacity to respond and handle multiple tasks appropriately in a dynamic and fast paced work environment. • Maintains excellent relationships with all staff and will be an effective liaison with volunteers, professional directors and other staff striving to serve everyone. • Proven ability to manage multiple and complex projects to meet the needs of the business; Must be fluid in adapting to multiple changes at the same time • Must be able to easily learn and work with various computer software. • Multi-lingual desired but not required. • Must be flexible and have the ability to work weekday, evening, and weekend hours, as required. • Ability to relate effectively to diverse groups of people from all social and economic segments of the community. WORK ENVIRONMENT & PHYSICAL DEMANDS: The physical demands described here represent those that must be met by an employee to successfully perform the essential functions of this job. • While performing the duties of this job, the employee is regularly required to use a computer for extended periods of time and be able to communicate using a computer and phone/smart device. • The employee frequently is required to sit and reach and must be able to move around the work environment. • The employee must occasionally lift and/or move up to 10 pounds. • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust. • The noise level in the work environment is usually minimal to moderate. • Must be able to provide valid identification for employment eligibility verification. • Must possess a valid driver's license and have access to reliable transportation. • A clean driving record is required to meet YMCA insurance standards. • Travel between branch locations or to off-site meetings and events is required. • Reasonable accommodations may be made to enable individuals with disabilities to perform essential job functions.
