Overview: This leadership role involves organizing, coordinating, and supervising activities related to medical assistants and practice secretaries within a clinical setting. Acting as a key resource in the absence of the Practice Coordinator, the position ensures smooth front and back office operations while maintaining excellent patient service and staff oversight. Front Office Responsibilities: Manage typing, copying, and creation of forms and reports, ensuring timely and efficient communication. Handle phone calls, voicemails, and paging for physicians and staff, ensuring coverage and message accuracy. Maintain filing systems for patient and non-patient correspondence. Provide feedback to optimize front office functions and utilize electronic medical records (EMR) proficiently. Clinical Patient Care Duties: Deliver direct patient care and delegate tasks as appropriate, recognizing normal and abnormal patient parameters. Ensure accurate and updated medical records, prepare patients for examinations, and obtain vital signs and histories. Communicate patient conditions to physicians and document thoroughly. Assist with testing, treatments, minor surgeries, and medication management under physician supervision. Provide patient education and ensure understanding of treatment plans and medication usage. Perform laboratory tests and maintain lab logs as required. Administrative Leadership: Oversee daily operations of secretaries, receptionists, and medical assistants across multiple locations. Represent the department in public relations, committees, and educational activities. Manage staffing, scheduling, operations, and training in collaboration with the practice coordinator. Maintain safe operation of equipment and coordinate repairs. Plan and implement staff development and educational programs. Prepare departmental records, reports, policies, and assist with performance reviews. Education and Experience: Associate degree or equivalent required; candidates pursuing a bachelor's degree with at least two years completed coursework may be considered. Completion of an accredited Medical Assistant or Nursing (LPN) program required or must be completed within three years of hire. Minimum of five years' experience as a secretary, receptionist, or medical assistant. Work Schedule: Full-time day shift, 40 hours per week. This role is based in a regional healthcare setting within the Midwest United States.
