About the Role Atlantic Retail is seeking an Office & Broker Coordinator to support the Boston offices day to day operations while providing support to brokers and partners. This role is highly visible and central to the success of the office, requiring strong organizational skills, attention to detail, and the ability to juggle multiple priorities in a fast-paced environment. The ideal candidate is proactive, service-oriented, and comfortable supporting office operations, broker needs, and light marketing initiatives, including the preparation of marketing materials and reports. Office & Administrative Support Serve as first point of contact for visitors; manage front and back door access Receive, sort, and distribute mail and packages Maintain and update the office stamp machine (ink, postage balance, system updates) Clean, stock, and prepare conference rooms; maintain conference room calendar Order and coordinate lunches for internal and client meetings Oversee printers (paper, ink, waste bottles, service calls) Coordinate service tickets and office issues with Property Management Maintain kitchen and shared spaces including dishwashers, snacks, and supplies Schedule fridge cleanouts, microwave cleaning, and window cleaning Order and manage office supplies Coordinate FedEx shipments, courier services, and outgoing packages Serve as point of contact for eFax Broker & Marketing Support Create and assemble tour books and marketing binders Assist with binding and production of marketing materials Run demographic and Placer.ai reports Support brokers with marketing needs during peak periods Assist with sign calls and signage coordination Coordinate ICSC registrations and travel logistics for Boston brokers and partners Gather and maintain database records Perform miscellaneous job related duties as assigned Qualifications & Skills Strong organizational skills and ability to manage multiple tasks Excellent written and verbal communication skills High attention to detail and follow-through Proficiency in Microsoft Office Experience with Adobe Create InDesign a plus Experience supporting a fast-paced office environment Prior commercial real estate or professional services experience a plus Bachelors degree or equivalent experience 13 years of experience in an administrative, office coordination, or brokerage support role preferred See what our team says about working at Atlantic
