Child Nutrition Bookkeeper/Administrative Assistant Nature of Work Under general supervision performs a variety of clerical, secretarial, and general office assistance duties that involve some scope or consequence in support of an office operation, program or work unit. Work involves typing and processing correspondence, reports, statements, manuscripts, forms and other materials into form from typed or handwritten copy. This requires the use of various office machines, as well as the application of judgment based on general knowledge of the operations of the office or organization to which assigned. Employee is responsible for screening and routing materials according to content of communications and resolving questions and problems using established procedures, referring unusual situations to others for guidance. Duties and Responsibilities Maintains payroll entries for Child Nutrition Staff Weekly Reconciles Daily Deposit to Build Sales Reconciliation reporting for daily operations from each kitchen Process payments to Vendors on Weekly Basis Completes Monthly Child Nutrition Claim for the National School Lunch, School Breakfast and Summer Meals Program, and Fresh Fruit and Vegetables programs Maintains Quarterly North Carolina DPI Reporting Enter and Maintain Purchase orders and requestions for Child Nutrition utilizing associated budget codes Reconcile monthly Bank Statements across 3 separate banks Transfer monies as needed to primary bank account Process Free and Reduced Applications including Homeless designation Provide Customer Service to all Child Nutrition Vendors and answer all invoice discrepancies Provide Customer Service to Families of Wilkes County Schools regarding payments and meal service Maintain office supplies for Child Nutrition Office and 20 Cooking Kitchens Maintain communication with other departments as needed Process Weekly Payments to Vendors Makes arithmetic calculations manually or by use of a calculator according to established methods. Operates copying machines, adding machines, personal computers, and other office equipment. Receives standardized reports and compiles data into summary or consolidated form Facilitate Vendor Set-up for Child Nutrition Vendors Maintains CN Social Club records Performs other related work as required. Knowledge, Skills and Abilities Experience in Dietetics, Nutrition, Hotel/Restaurant Management, Food Service or other closely related field OR a minimum of a high school education with three years' experience in school food service management; Ability to supervise and train CN staff members in a professional, positive and engaging manner; Knowledge of nutrition principles, food preparation, recipe development, safety and sanitation; Ability to read and interpret federal, state and local standards concerning food production, sanitation, nutrition and procurement; Skills in the use of commercial food preparation equipment and desire to learn about procurement, and HACCP; Basic computer skills, including Microsoft Office Software, LINQ nutrition and a strong desire to develop additional technology skills; Task oriented and the ability to prioritize various tasks at one time; Ability to stand for long periods of time and lift at least 50 pounds; Ability to obtain and maintain Professional Food Manager Certificate Ability to maintain high level of discretion Ability to manage and lead a kitchen if necessary Personal Qualifications Character, personality and the proper social capability to relate effectively with diverse groups and demonstrate the ability to work with a wide variety of community groups, organizations and Reports To: Child Nutrition Director FSLA Status: Non-exempt Disclaimer: The preceding job description has been designed to indicate the general nature and level of work performed by employees within this classification.
