VACANCY ANN#: STOI-26-015 TITLE: ADMINISTRATIVE ASSISTANT DEPARTMENT: TRIBAL BUSINESS COUNCIL SUPERVISOR: EXECUTIVE ASSISTANT TO TBC LOCATION: WELLPINIT, WA STATUS: REGULAR FULL-TIME RATE OF PAY: $23.87 - $24.56 PER HOUR OPENING DATE: MARCH 4, 2026 CLOSING DATE: MARCH 18, 2026 INTRODUCTION: The objective of the Administrative Assistant is to provide administrative, secretarial, and support services to the Executive Assistant and Spokane Tribal Business Council. MAJOR DUTIES AND RESPONSIBILITIES: The Administrative Assistant position is distinguished from other administrative support positions in that it provides highly sensitive support to the Tribal Business Council and Executive Assistant to Tribal Business Council. Responsibilities require the exercise of independent judgment, technical knowledge of the specific area of assignment in overall tribal activities and inter-governmental relations. Other duties include the following: Perform a wide variety of executive secretarial and administrative duties as required by daily operations in the tribal headquarters. Represent the Tribe and act as a tribal liaison for the tribe when interacting with the general public, elected officials, and all outside agencies whether it be through personal interactions, by phone, or by email. Coordinate office activities and schedules. Develop and recommend office procedures and systems. Ensure smooth office operations. Review and summarize reports and documents. Research and analyze routine administrative projects for the Executive Assistant and Tribal Business Council. Receive and distribute the mail to identify those items requiring priority attention of the Chairman/Chief Executive Officer and/or executive level staff. Process requisitions and reimbursements. Provide follow-up to assignments that are delegated to management staff by the Tribal Council. Provide status reports when needed. Receive and screen communications to Tribal Council including telephone calls, email messages, memorandums, and other correspondence. Use independent judgment to determine priority attention. Determine and redirect to appropriate director level staff. Facilitate communication between Spokane Tribal members, community members, and director level staff with the Executive Director. Communicate and coordinate as directed with the tribe's legal representatives. Independently respond to letters and general correspondence of a routine nature. Draft or assist in drafting and editing correspondence to be signed by the Tribal Business Council. Make travel arrangements for the Tribal Business Council and maintain appointment schedules and calendars; arrange meetings and conferences. Maintain files of outgoing correspondence, memorandums, and reports. Maintain Council action resolution files. Perform basic research and prepare reports as directed by Executive Assistant to Tribal Business Council or by Tribal Business Council. Coordinate, schedule, attend and transcribe minutes for other boards/committees as assigned. Act as liaison with board representatives or officials of other entities or agencies in conjunction with board duties, utilizing appropriate protocols and procedures. This position requires some work to be performed outside general business hours. Occasional evening meetings or weekend work may be required. Develop and maintain direct knowledge of the Executive Directors and Administrative Directors views on administrative-related matters. Individual will have daily contact with community, professionals, employees for appointment scheduling, meetings, etc. Additional duties as assigned. KNOWLEDGE AND SKILLS REQUIRED FOR POSITION: Exemplary customer service skills must be provided to Council members, Spokane Tribal members, Executive and Director level staff, coworkers, and other governmental and outside agencies. Must have knowledge of secretarial, office administrative procedures, and know of use and operation of standard office equipment. Must be able to work independently using initiative and own judgment within established policy and procedural guidelines. Act as a dedicated team member working well with all levels of staff and the ability to work well with other team members in developing a consensus. Ability to analyze and resolve office administrative and procedural problems. Create innovative techniques for performing assignments. Ability to use basic mathematical computations, account coding and understanding of basic budgeting theories and principles. Effective time management and ability to prioritize and organize own work, coordinate projects, meet deadlines, and follow-up on assignments. Must have ability to establish and maintain effective and professional relationships with officials at all levels of government, staff, outside entities, the public and other interest groups. This position requires the ability to safely operate a motor vehicle. Independent judgment is required to plan, prioritize, and organize a diversified workload for two Director level staff members. Individual must have a high level of interpersonal skills to handle sensitive and confidential situations professionally. LANGUAGE SKILLS: Must have ability to read, analyze, and interpret the most complex documents. Must have ability to respond effectively to the most sensitive inquiries or complaints. REASONING ABILITY: Must have ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems. Must have ability to deal with nonverbal symbolism. Must have ability to deal with a variety of abstract and concrete variables. MATHEMATICAL SKILLS: Must have ability to comprehend and apply principles of basic math. Must have ability to work with concepts such as limits, quadratic and differential equations, and proofs of theorems. MINIMUM QUALIFICATIONS: Must have a valid Washington State Drivers license and must meet Tribal insurance requirements. The employee is required to submit a driver's abstract and proof of valid Drivers License annually to the Human Resources Department. Incumbent must be willing to travel as directed. High School Diploma required, and 2 years' experience in professional positions. Excellent communication skills. Must be able to type 60 words per minute. Must have strong computer and word processing skills, including experience with computer applications such as Microsoft Word, Outlook, Access, PowerPoint, Excel, and Adobe Acrobat; Demonstrated ability to use proper English, spelling, grammar and punctuation in business correspondence. Must have strong transcription skills. Requires strong organizational skills. Must be able to work independently. Must be able to maintain strict confidentiality of all matters and to use diplomacy in all situations. PREFERRED QUALIFICATIONS: AAS in Business practices Proficiency in shorthand.
