Executive Assistant The Executive Assistant provides effective and efficient administrative support to Southern Bank's Board of Directors, Senior Leadership Team, and others in the performance of their duties, coordination of clerical activities, and organization of meetings. Ensures the confidentiality of customer non-public personal information and secures information systems to comply with bank regulations. Provides effective and efficient administrative support. o Schedules meetings and manages calendars; o Coordinates travel; o Assists in the drafting and review of documents, reports, presentations, and correspondence, ensuring accuracy and confidentiality; o Completes special projects as needed; o Uses technology appropriate to these duties. Maintains records completely, accurately, and efficiently. o Maintains records in electronic (or, when necessary, physical) form, in a manner such that they may be easily searched and accessed; o Prepares accurate, succinct, and timely records of corporate actions, to include minutes; and, o Works as requested to maintain corporate shareholder records, file regulatory reports regarding board or executive securities activity, or submit filings to the SEC. Conveys the professionalism of the Southern Bank in all settings and interactions. o Serves as an effective liaison between the bank's senior leadership team and all stakeholders; o Acts with a positive attitude, impeccable discretion, and confidentiality in all matters; o Uses time wisely to complete responsibilities ahead of schedule; o Communicates in-person, via telephone or video conference, or in writing in a highly professional manner; o Maintains clean, organized, and well-stocked reception, meeting, and work areas; o Assists in planning off-site events that deliver an excellent impression for the organization. Excellent time-management and prioritization skills; possesses exceptional discretion and trustworthiness. Strong background in corporate administrative responsibilities and software commonly used to carry out those responsibilities, including telephone systems, e-mail, team collaboration software, presentation, word processing, spreadsheets, database, and project management software. Familiarity with common legal and governance matters relating to the operation of a corporation and a financial institution. Strong written and verbal communication skills. Able to draft clear, concise, and professional communications. Bachelor's degree from a four-year college with emphasis in business administration, management, or a related field, and five years' related experience and/or training; or equivalent combination of education and experience.
