Job Description

Job Title: Executive Assistant Location: Boston Seaport (Onsite 45 days per week) Duration: 2 month contract (potential to extend) Start Date: March 11 Pay Rate: $28-37/hr Position Overview We are seeking an experienced Executive Assistant to provide high-level administrative support to the Director and Deputy Director during a transitional period. This role is critical to ensuring continuity, organization, and effective communication while responsibilities transition internally. The Executive Assistant will serve as a trusted partner and gatekeeper for leadership, managing daily administrative and coordination needs. Key Responsibilities Provide direct administrative support to the Director and Deputy Director Act as the gatekeeper for the Directors Office, managing access, communications, and priorities Manage complex calendars and schedules, including coordinating internal and external meetings Prepare and edit materials such as PowerPoint presentations, agendas, and meeting documentation Attend leadership team meetings and capture meeting minutes Coordinate logistics for on-site visitors and Director travel Handle expense management and submissions, including use of internal systems for invoice processing Serve as the first line of communication for the Directors Office, including email, phone calls, and correspondence Communicate with external partners to schedule meetings and coordinate logistics Perform additional administrative duties based on experience and skill set Required Qualifications 24 years of experience as an Executive Assistant, supporting Directors or C?suite leaders Experience in a cultural, nonprofit, or governance-driven organization Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) Experience using collaboration tools such as Microsoft Teams and Zoom Highly organized, efficient, and detail-oriented Comfortable working in a fast-paced, professional environment with senior leadership Ability to handle confidential information with discretion and professionalism Nice to Have Understanding of organizational structures involving Boards of Directors and governance bodies Experience supporting leadership teams within regulated or mission-driven environments
