As an Office Administrator, you'll support daily operations, ensure smooth workflow, manage bookkeeping processes, and deliver exceptional customer service. You'll collaborate closely with management and the office team to keep operations running efficiently and accurately. What You'll Do: As an Office Administrator, you will be responsible for: Managing accounts receivable and accounts payable transactions, ensuring timely processing and reconciliation. Preparing, sending, and tracking invoices and payments to facilitate cash flow. Handling phone reception and providing professional, friendly customer support. Assisting with QuickBooks data entry, reconciliations, and generating reports to support financial accuracy. Maintaining office records, files, and supply inventories to ensure organization and efficiency. Coordinating scheduling and billing with service technicians and managers for seamless operations. Performing various administrative and clerical duties as needed to support team functions. What You'll Bring: The ideal candidate for this role will have: A high school diploma or equivalent. 2+ years of experience in office administration or similar roles. Proficiency in QuickBooks (intermediate level) for data entry, reconciliations, and reporting. Strong skills in Microsoft Office Suite (Excel, Word, Outlook). Excellent customer service and communication skills. Strong attention to detail, organizational ability, and effective time management. Ability to occasionally lift up to 50 lbs. comfortably.
