Primary Focus: Front office operations, student services, school events, and administrative support Position Summary: The Administrative Assistant plays a vital role in supporting the daily operations of the school by providing front office coverage, managing student records, assisting with financial processing, coordinating communication systems, and supporting major school events. This position serves as a primary point of contact for students, parents, staff, and visitors while ensuring accuracy, professionalism, compliance, and efficient office workflow. Essential Duties & Responsibilities Daily Record and monitor student attendance; contact families regarding unreported absences Greet and admit students, parents, and visitors into the building in a professional and welcoming manner Update and distribute daily announcements Distribute student medications as needed and follow school health procedures Record payments for PE clothes, lunches, and registration fees Assist staff with copying, locating students, and general office support Provide coverage and assistance to the athletic office when the athletic secretary is unavailable Weekly Reconcile and verify attendance records Maintain and update the district calendar Check in substitute teachers and arrange internal coverage when needed Order, restock, and maintain copy machine supplies; clear paper jams as necessary Record and update student community service hours Monthly Ensure attendance reports are completed and submitted for district records Reconcile credit card statements with receipts Process purchase orders using budget or activity accounts Order general office and athletic supplies Periodic / Event-Based Assist with preparation and coordination of major school events, including: Graduation National Honor Society Ceremony Senior Awards Night Maintain and update fire and tornado emergency lists Process student registrations and withdrawals in Skyward Submit student work permits Perform additional duties as assigned by the principal Qualifications High school diploma required; associate degree or higher preferred Previous experience in an office or school setting preferred Strong organizational, communication, and customer service skills Ability to manage multiple tasks and maintain confidentiality Proficiency with Google Workspace, Skyward, and basic office technology preferred Work Environment: This position works primarily in a school office setting with frequent interaction with students, staff, families, and community members. The role requires professionalism, discretion, and the ability to adapt in a fast-paced environment. Additional Information: Starting hourly rate $16.00 for full time for 2025-26SY. Additional wage paid for experience and education. IMRF partially paid by district District provided health, eye, vision and life insurance Personal, Sick Leave and Bereavement Days All Full Time Staff Members (Living outside District) are eligible for tuition waiver for children attending CUSD#11 schools.
