Job Description

Administrative Assistant The Recovery and Claims Services Administrative Assistant functions as a departmental resource across a range of tasks and projects. Primary responsibilities include answering inbound call center telephone calls. Additional duties may include processing mail and faxes, triaging and entering multiple forms and reports, filing legal forms, sending correspondence, setting up new cases, routing incoming documentation, processing authorizations, and supporting tasks related to employee leave benefits and accommodations. The role applies administrative assistant expertise to perform secretarial and clerical tasks with accuracy and completeness, including transcribing correspondence and documents, maintaining calendars, scheduling meetings, making travel arrangements, providing follow-through on inquiries, creating and maintaining web pages and databases/spreadsheets, supporting departmental projects, preparing reports, meeting agendas and minutes, presentation materials, processing reimbursements, and maintaining electronic files and records. The assistant serves as a resource and mentor to others as opportunities arise and demonstrates initiative, proficiency, and sound judgment to optimize the time of those supported. Strong organization and communication skills and a commitment to quality service are required. Schedule: Hours: 8:00 a.m. - 5:00 p.m. with flexibility. Lunch: 1 hour, or 30 minutes with adjusted schedule (8:00-4:30 or 8:30-5:00, alternating). Workweek: 40 hours. Equipment: Provided by employer. Responsibilities: Answer inbound call center telephone calls and provide timely follow-through. Process mail and faxes; triage and enter forms and reports; route incoming documentation and correspondence. Set up new cases, process authorizations, and file legal forms; send outgoing correspondence. Support tasks related to employee leave benefits and accommodations. Transcribe correspondence and documents; draft and edit letters and materials. Maintain calendars, schedule meetings, and coordinate travel arrangements. Create and maintain web pages, databases, and spreadsheets; manage electronic files and records. Prepare reports, meeting agendas and minutes, presentations, and process reimbursements. Serve as a resource and mentor to colleagues as appropriate. Required Skills & Qualifications: Strong grammar, punctuation, and English usage. Proficiency with computer systems and office equipment, including computers, printers, dictation equipment, phone systems, and copier/fax machines. High-level organization, customer service focus, interpersonal skills, and clear written and oral communication. Ability to prioritize and manage multiple tasks simultaneously; independent composition of letters and standard office practices. Sound decision-making, judgment, attention to detail, and follow-through in a changing environment. Typing speed of 60 WPM preferred; experience with secretarial/clerical software preferred. Education: Completion of a one- or two-year degree/diploma in an administrative assistant or secretarial field, or a minimum of two years of experience in a secretarial/administrative assistant role managing calendars, supporting individuals, creating correspondence/reports/presentations, database/spreadsheet management, and coordinating travel.
