Job Title: Office Manager Department: Admin Location: Goldield, IA Reports To: Business Unit Leader Job Type: Exempt Job Summary The Office Manager is responsible for overseeing and managing the daily activities of office staff to ensure efficient operations, service delivery, and expense control. This role involves developing and implementing administrative procedures, managing office resources, and supervising a team of para-professional staff. The Office Manager plays a crucial role in maintaining smooth office operations and supporting the overall efficiency of the organization. Essential Job Functions • Assist the Business Unit Leader and management team with scheduling, communication, and coordination of daily activities • Prepare and manage reports and other documents to support the management team's decision-making process such as data entry, inventory, tracking and invoicing • Prepare and distribute weekly and monthly reports to leadership • Gather information for flock and plant reports to be sent out to all managers weekly. Verify all production feed orders to order sheet to make sure all orders are delivered. • Enter weekly production, feed, weight, bird placement and mortality data into AIM software. Keep data up to date for egg numbers, new flocks, feed inventory, and depopulations. • Gather all safety training materials on weekly and monthly basis to ensure completion • Manage and supervise support team personnel • Oversee daily office operations, including inventory management of office supplies • Develop and implement office procedures and policies • Manage record-keeping, document preparation, and mail distribution • Oversee reception, bill processing, and maintenance services • Coordinate technical support and project scheduling • Help select vendors and manage the purchase of office equipment and supplies • Troubleshoot operational issues and implement effective solutions • May be responsible for personnel actions including recruitment, hiring, promotion, performance management, discipline, and termination; coach office staff to achieve optimal performance • Assist the coordination of employee engagement events and initiatives • Ensure compliance with company policies and relevant regulations • Coordinate with other departments to support organizational goals • Manage office space allocation, maintenance, and cleanliness • Other duties as assigned Required Qualifications • High School Diploma, GED or equivalent experience • Bilingual in Spanish and English • 4+ years of experience in office administration or related area • At least 3 years in a lead, supervisory, or managerial role (for positions with direct reports) • Excellent organizational and problem-solving abilities • Proficiency in Microsoft Office suite and office management software • Knowledge of office procedures and best practices Preferred Qualifications • Bachelor's degree in Business Administration or related field • Experience in the specific industry of the organization • Knowledge of human resources practices and procedures • Familiarity with project management methodologies Work Environment This position is primarily office-based and involves frequent interaction with staff, vendors, and visitors. The role requires the ability to multitask and manage multiple priorities in a fast-paced environment. Some physical activity may be required for office maintenance and organization. The Office Manager may occasionally need to work extended hours to address urgent operational issues or complete time-sensitive projects.
